Edit A/R Agency/Add A/R Agency

The Edit A/R Agency/Add A/R Agency screens allow you to edit/add charge codes (agency codes).

Note:  Changes to the A/R Agency screen can be logged through a triggers program set up in the COMPUTER table of the green screen application

Note:  For details regarding how the system determines the default A/R Agency Code and Card Number(s) that are assigned to newly added customers, see the Customer Adds screen help topic.

The following fields appear on the Edit A/R Agency/Add A/R Agency screens:

Field Description
Code

A group of A/R codes set up on the customer's profile which references a specific method of payment (e.g. credit card, house account, etc.).

Note:  Valid agency codes are set up and maintained in the ARAGENCY table.
Card Number

* Do Not Save Card Number After Request - This means that when invoicing the customer, the user will be prompted to enter the card number. After it is entered,it is not stored anywhere in the system and will continue to prompt each time for the card number.

? Save Card# After Request - This means that when invoicing the customer, the user will be prompted to enter the card number. After it is entered there are three possible scenarios:

  1. For agencies coded as Payment Card Interface (with MERCHMGR in the ARAGENCY table under Agency Name) where the device is not an MX880, the system will save just the last four digits of the card on the profile (ie. XXXXXXXXXXXXX2222)
  2. For agencies coded as Payment Card Interface (with MERCHMGR in the ARAGENCY table under Agency Name) where the device is an MX880, nothing will be saved
  3. For all other agencies, the card number keyed will replace the ? for that agency code on the A/R Agency tab of the customer profile and not prompt again
Expiry Date The expiry date for the customer's agency.
Credit Limit

The credit limit for the customer's account.

Note:  
The credit limit and credit rating for the customer's default A/R agency will be displayed in all IntelliDealer invoicing/quoting applications.
Credit Rating The customer's credit rating.
Transaction Limit The maximum amount of money the customer is allowed to charge to their account on a single transaction.
Active Marks an agency code active.
Default Agency Marks a code as the default agency code.

The following field appears only on the Edit A/R Agency screen:

Field Description
Default Promotion Code The default promotional code for the accounts receivable agency code.

The following buttons allow you to complete your work on the Edit A/R Agency/Add A/R Agency screens:

Button Function
Save Saves the changes made to the Edit A/R Agency/Add A/R Agency screens and updates the A/R Agency tab.
Close Closes the Edit A/R Agency/Add A/R Agency screens without saving and returns to the previous screen.
