Financial Management Quick Links

The Financial Management Quick Links screen can be accessed from any IntelliDealer screen by clicking on the Financial Management tab.

The Financial Management Quick Links screen allows you access to Accounts Receivable, Accounts Payable and General Ledger functions within IntelliDealer.

Clicking on the appropriate link will allow you to drill further down into the IntelliDealer system.

Accounts Receivable:

  • A Customer Profile option that allows you to access key information about the customers you do business with. You can maintain customer information including profiles, shipping information, contacts, A/R Agencies, and rental information.

  • A Cash Receipts option which allows you to post payments received from your customers, and an online Credit Limit Analysis. You can also view historical posting and billing information.

  • The ability to create and display on screen customer reports.

  • An easy to read graph displays your summarized A/R Aging for all outstanding receivables that also offers the ability to drill down by aging period.

Accounts Payable:

Managing of payables has been made simple through Financial Management’s Accounts Payable option. Accounts Payable includes:

  • A Vendor Profile that allows you to access key information about the vendors you do business with. You can maintain vendor information including profiles, contacts, payment terms, and distribution information, as well as view a breakdown of Fiscal and Calendar purchases.

  • The ability to view outstanding accounts payable information and key invoices received from your suppliers from a single screen entry point as well as the ability to view historical information that will assist you in tracking the flow of invoices through the system.

  • Other features, such as the ability to make adjustments and print quick checks as well as record checks that have cleared your bank.

General Ledger:

Creating and maintaining the foundation for a good financial system starts with the general ledger and your chart of accounts. Searching for accounts and the history of those accounts is equally important. The general ledger option of the Financial Management module allows users to maintain their chart of accounts and gives them the ability to enter information that is crucial to having a successful general ledger system. General Ledger includes:

  • The ability to create and maintain general ledger journal entries and balance your subledgered accounts.

  • The ability to view and maintain the all important budget values for your general ledger and chart of accounts.

  • The ability to analyze financial information through account lookup, sales analysis, and financial reporting.

Payroll:

The IntelliDealer Payroll system is a comprehensive system that can be configured to the needs of equipment dealerships and provide valuable management information. Payroll includes:

  • The ability to assign each employee an employee record which includes pertinent payroll information such as name, address, hire date, rate of pay, and whether the employee is salaried or paid on an hourly basis.

    Note:  If an employee is coded as salary, the system will automatically calculate the employee's pay on each pay check. Hourly employees earnings are based on the number of hours worked times the hourly rate of pay loaded on the employee's master record.

  • The system can calculate overtime and accumulates earnings by type of earnings (e.g. regular time, overtime, vacation pay etc.).

  • Mandatory deductions such as federal withholding, state withholding and FICA in the United States and federal tax, UIC and CPP in Canada, are automatically calculated by the system on every pay check. Any number of other types of deductions can be assigned to all or selected employees.

  • The employer's expense portion of the FICA deduction is calculated automatically on every payroll check run.

  • The system can also calculate the employer's expense portion for other deductions such as the employer's portion of insurance premiums. The federal and state unemployment taxes that must be paid by the employer may also be accrued.

  • Taxable benefits can also be added to any employee's pay.

  • Any number of pay periods may be used in the IntelliDealer Payroll system and may vary by pay type.

  • The general ledger and employee history files are updated with every payroll check run.
