Cloud Server Maintenance Window
The current ASP maintenance window for the IntelliDealer Cloud Server is:
-
Nightly—System maintenance is completed between 2:00 AM and 5:00 AM ET, Monday thru Saturday. This includes Your Dealership data backups and other functions such as urgent PPU and PTF updates. The nightly backups and maintenance are completed each morning by 5 AM ET. These backups are stored for 14 days.
-
Weekly—Weekly system maintenance is performed each Sunday morning from 12:00 AM – 6:00 AM ET. This maintenance includes security and system configuration data backups, IPLs (when required), PTF, PPU, and other assorted system maintenance. These backups are kept for 14 days.
Note: All scheduled jobs and green screen nightly processing must be completed before the maintenance window begins.
For reference, here is a weekly calendar showing the potential maintenance windows in gray, and the time when processing should be completed by in yellow. Note that Saturday has two yellow blocks, where Sunday has none.
Frequently Asked Questions (FAQs)
Can I set up the green screen billing runs and full database (PFWSYS menu option #1) for 2am Eastern time?
No, you must schedule all legacy billing and database applications so they are complete prior to 2am Eastern. For this reason the time prompt on screen will not accept anything that’s 30 minutes prior to the maintenance window. For example, on a Tuesday morning you can enter up to 013000 (1:30:00 am Eastern) but NOT 013001 (1:30:01 am Eastern). On a Saturday night you can enter up to 233000 (23:30:00PM) Eastern, but not 233001 (23:30:01PM).
Keep in mind that it’s up to you, the dealer, to make sure the runs are finished prior to the maintenance window. If you schedule something that does not complete, it’s possible the job may not finish and there could be an error or a restart the next day. If there is a run ‘stuck’ you may have to contact VitalEdge Client Services for assistance.
Can I schedule green screen billing for after midnight?
Yes! Keep in mind if you set up a time for early morning there is an extra confirmation screen that comes up. It looks like this:
$ZTMWAIT Enter Start Time Warning
The start time entered is less than the current time xx:xx:xx
Press <ENTER> if xxxxxx is the correct start time.
Press <F12> to enter a new start time.
This is all normal and correct. The warning is done just to ensure the correct time has been entered. The time in the legacy green screen is always a 24 hour clock and in Eastern time (EDT). If you mean to enter 11pm Eastern you need to enter 230000. 11am Eastern is 110000.
Can I set up automated billing/dayend/database to run after midnight during the expanded time?
Absolutely, but there is extra consideration required. Your billing run calendar could be a bit more complicated to set up and maintain going forward if you want to run it later. You may want to keep billing in particular running prior to midnight Eastern.
As an example say today is Friday November 30th, and your A/R month is going to be open until Monday December 3rd. Normally you run billing through the unattended billing function at 23:00:00 Eastern, so it’s automated and would run on the 30th with a date of the 30th. However, if you want to now run that same billing in the early morning hours on December 1st, the unattended billing calendar has to be set up so the December 1st run is actually processed with a date of November 30th. Every day has to be back-dated, and extra caution is needed around month end in particular. The billing calendar is configured under Configuration > Utilities > Unattended Billing Runs.
If you keep billing and calendar dates mostly bound together so billing is processed with the same date as ‘today’, it’s a bit easier to keep track of, so you may want to keep billing so it processes before midnight. Shortened Dayend and full database reorganize are easier to push off until after midnight during the week and no extra adjustment is needed.
If I want to change my job schedule entries on the ASP cloud, how long will it take?
There is a bit of coordination required to get schedule changes made. You can expect the changes to be 1-3 business days although every effort will be made to get changes completed quickly. If you have any high priority projects already in motion you may want to wait and change the schedule later.
Are there other runs to consider?
There are some jobs run system-wide meaning the run date and time is not by dealer. The list is below:
Job Description | Time Processed |
---|---|
AGCO API parts transmissions |
01:40 Monday to Saturday |
AMAX Mini-load | 01:45 Monday to Saturday |
3rd Party Credit Processing (Payment Card, JDC, Freedom Pay for CNH and AGCO, Volvo Credit) |
01:50 Monday-Friday 01:50 and 23:50 Saturday |
