Miscellaneous Charges

Use the Miscellaneous Charges screen to define Work Order miscellaneous charges for things such as shop supplies, shipping fees, or environmental charges. Before the details of the charge are established in this configuration table, a part master record must be added. This drives sales of the miscellaneous charge to the appropriate G/L account. These miscellaneous items can then be applied to a Work Order.

Note:   You can specify both a Charge Rate % and a Minimum Charge. They are both applied to the invoice, cumulatively.

The fields on the Add Miscellaneous Charges screen are:

Field Description
Code A unique identifier for this particular miscellaneous charge.
Location The location of the miscellaneous charge.
Description A description of the miscellaneous charge. This description appears on the Work Order invoice.
Charge Rate % The percentage rate to be charged on the Work Order invoice, if this miscellaneous charge is to be calculated as a percentage of parts and/or labor.
Applied To If this is a miscellaneous charge based on a percentage, indicate here whether the percentage is to be calculated on:
Parts, Labor, or Both.
Charge Amount If this miscellaneous charge is a fixed rate, the amount of the charge.
Minimum Charge

If this miscellaneous charge is based on a percentage, you can define a minimum charge amount in this field. This field applies only to percentage-calculated charges. Even if the calculated percentage charged for parts and/or labor are smaller than this amount, at least this amount will be charged.

If you add a miscellaneous charge with a Minimum Charge amount to a work order, the system issues a warning when attempting to close the order if the full minimum charge amount has not been billed to the order.

Note:  This amount can be overridden by the user completing the work order.

Maximum Charge

If this miscellaneous charge is based on a percentage, you can define a maximum amount to be charged to the work order in this field. This field applies only to percentage-calculated charges. Even if the calculated percentage charged for parts and/or labor are larger than this amount, this is the largest amount that will be charged.

Note:  This amount can be overridden by the user completing the work order.

Apply Charge Defaults Select this checkbox to indicate if this charge should always be posted to the work order.
Default Tax 1 Code The Tax 1 code that should be used as a default for the current charge. If the current charge is never taxable, enter the Tax 1 exemption code in this field. If a specific tax code does not apply to this charge, leave this field blank so that the appropriate Tax 1 code for the Work Order will default from the Customer Profile.
Default Tax 2 Code The Tax 2 code that should be used as a default for the current charge. If the current charge is never taxable, enter the Tax 2 exemption code in this field. If a specific tax code does not apply to this charge, leave this field blank so that the appropriate Tax 2 code for the Work Order will default from the Customer Profile.
Tax 3 Applies Select the checkbox to indicate that this charge is subject to any tax code defined under Tax 3.
Tax 4 Applies Select the checkbox to indicate that this charge is subject to any tax code defined under Tax 4.
Part Number: OTHER

The system uses a part number (starting with "OTHER") to post the miscellaneous charges defined on this screen. The purpose of the part number is to indicate the G/L account that sale of these charges would be posted to. The user must define the miscellaneous charge as a part in the system.

This field already has the word "OTHER" spelled out as the prefix for the part, therefore you only need to fill out the remaining characters of the part number. Since the word "OTHER" is five characters, and part numbers can be a maximum of 15 characters, you can use up to ten characters for the part name.

Use these buttons to complete your work on the Miscellaneous Chargesscreen:

Button Function
Save Saves your changes to the Miscellaneous Charges screen.
Copy Creates a new copy of this Miscellaneous Charge.
Save & New Saves your changes to the Miscellaneous Charges screen and opens a new blank screen for you to add another Miscellaneous Charge.
Close Closes the Miscellaneous Charges screen and returns to the previous screen.
