Service Request

Use the Service Request screen to create a new service request for a piece of equipment. A service request is a request for maintenance (preventative, conditional, repair, and so on) for equipment units.

To open the Service Request screen, click the Need to create a new request? Click here to add link on the Service Requests screen.

Creating a Service Request

  1. From anywhere in IntelliDealer, navigate to Product Support > Service > Work Orders.

  2. Click the Service Requests tab.

  3. Click the Create Service Request button.

  4. Fill in the required Service Request fields using the table below.

  5. Click Save & Close.

    The request is added to the system for review.

Screen Description

The fields on the Service Request screen are:

Customer Information
Field Description
Customer Number

The customer you are creating the service request for.

If you do not know or cannot find the customer number, enter the customer's information in the fields provided (First Name, Last Name, Address, etc.).

Contact The customer contact associated to the request.
First Name The first name of the customer the request is being created for.
Last Name The last name of the customer the request is being created for.
Address The address of the customer.
City The city the customer is located in.
Province/ State The province or state the customer is located in.
Country Code The country code associated to the customer.
Zip/ Postal Code The customer's zip or postal code.
Phone The customer's phone number.
Work Phone The customer's work phone number.
Extension The customer's extension number.
Email The customer's email address.
Equipment Information
Stock Number

The machine ID the request is being created for.

If you do not know or cannot find the stock number, enter the machine information in the fields provided (Product ID, Product Description, etc.).

Product ID The product ID of the machine.
Product Description A brief description of the machine.
Brand ID The manufacturer of the machine.
Brand Description A brief description of the machine manufacturer.
Model Number The manufacturer's product identification number located on the unit.
Serial Number The machine serial number.
Problem Information
Problem Type The reason the service request is being created.
Description A brief description of the problem.
Extended Description An extended description of the requested service.
Miscellaneous Information
Salesperson Optional. The salesperson the service request is being assigned to.
Responsible Optional. The salesperson responsible for the request. This field is for informational purposes only, however it is included on print-outs related to the request.
Machine Down Optional. If selected, indicates that the machine associated to the request is currently down.
Location Assigned

Optional. The location the request is being assigned to.

If a work order is created for this request, the location selected in this field is used as the default location on the work order. If the location is then changed on the work order, the new location is reflected in this field.

Assign To Optional. The dealership employee the request is being assigned to.

Use these buttons to complete your work on the Service Request screen:

Button Function
Save Saves the service request information and adds the request number to the system.
Save & Close Saves the service request and returns to the Service Requests screen.
Close Closes the Service Request screen without making any changes.
