Product Support - Work Orders

To access the Work With Security Switches screen, click the link for the desired system or switch. You can control access to the security switch for individual users or user groups.

Security Switches - Work Orders
Access Work Orders Gives the user access to the Open Work Orders screen through the Work Orders link on Product Support Quick Links - Service list.
Add Work Order Allows the user to add a new work order accessed from the Open Work Order screen. The link Need to create a work order? Click here to add appears if the switch is on.
Access Miscellaneous Charges Gives the user access to the Miscellaneous Charges tab through the Open Work Orders screen by clicking on an Order Number.
Allow Post Miscellaneous Charges Allows the user to add a miscellaneous charges accessed from the Miscellaneous Charges tab. The link Click here to add a miscellaneous charge appears if the switch is on.
Allow Add Labor Allows the user to add labor hours to a work order, from on the Parts & Labor Billed tab. The link Click here to add labor to this work order appears if the switch is on.
Access Quote/Estimate Gives the user access to the Quote/Estimate tab through the Open Work Orders screen by clicking on an Order Number.
Modify Quote/Estimate Allows you to save changes on the Quote/Estimate tab. A Save and Save/Exit button appears when the switch is on.
Access Add ons Allows the user to access the Add ons screen allowing the user to add or subtract hours onto a work order segment based on the job code selected. an Add On link appears on the Segments tab.
Allow ? Stock Number Allows the use of a ? in place of a stock number on work orders.
Default Parts & Labor View by Segment Automatically defaults the Select Segment field to the number of the segment the user is working on. This automatically pulls up and search results relative to the segment number.
Secure by Salesperson Prevents the user from searching by salesperson on Work Order screens, by locking their salesperson id in the Select Salesperson field.
Default Salesperson on Listing Screen Determines if the user's default user ID is automatically placed in the Select Salesperson field on the Service Work Order screens.
Capture Electronic Signatures Allows you to capture customer signatures via an installed point-of-sale device. You are prompted to gather a signature whenever you close a work order or on demand via the Signature button on the Details tab.
Captured signatures print on the respective work orders if the IntelliDealer laser forms overlay feature is used.
A Point-of-Sale Device field appears on the Printer Parameters tab within a work order, allowing you to choose which installed device should be used for a capture.
Add Ship To's Allows the user to manually add a ship to address on demand from the Ship to Search screen by clicking the link at the bottom of the screen.
Secure Tax/ AvaTax Codes Secures the Tax code fields so they cannot be changed once they have been assigned a valid tax code (including blanks).
Secure Taxable to Exempt Prevents the user from changing a tax code to a tax exempted code, if the default tax code is a taxable tax code.
Allow Change of Segment Status Once All Segments Closed Controls whether or not the user can change the status of any segment after all segments have been coded as closed.
Display Rate/Hour on Repair Screen Displays the Rate/Hour field on the Segment tab.
Mandatory Rate Code The user must enter a rate code in the Rate Code field on the Segments tab before they are permitted to continue to another tab or close a work order.
Display Base Rate/Hours in Time Card Entry Screen Displays the Base Rate/Hours field on the Time Card Entry screen.
Display Labor Rate on Mass Change Screen Displays the labor hours on the Work Order Adjustments - Mass Changescreen through the Parts & Labor Billed tab by clicking on the Click here to make mass change to this work order link.
Allow Reverse Only on Mass Change Screen Controls whether or not the user is allowed to perform a reverse only adjustment when doing a mass change to a work order. Normally adjustments are made by reversing the original transaction and creating a new transaction with the adjustment applied.
Display Hours Worked in Time Card Entry Screen Displays the Hours Worked field on the Time Card Entry screen.
Select Labor Rate from Lookup Only Causes the user to select a rate code via a rate code pop-up list window in order to apply a new rate per hour when using the Work Order Adjustment screen.
Update Ship via With Source W/O # for Adjustments When the switch is on, an adjustment from one work order to another causes the system to populate the Ship Via field on the To work order with the From work order work order number. The system does not let any user perform an adjustment from the To work order to any other work order.
Allow Quick Add Allows the user to quick add a work order or job request from the Open Work Orders screen or under the Machine Quick Links on an open Equipment Profile. The link Quick Add Work Order/Request appears if the switch is set to Work Order only , Job Request only, Either a Work Order or Job Request, or No add capability.
Allow Quick Close Work Orders

Allows the user to quick close a work order, from on the Open Work Orders screen. The link Quick close a work order appears if the switch is on.

Allows the user to quick close work order segments on the Segments tab. A Quick Close option appears on the Work Order Options pop-up menu when the switch is on.

Allow Move to Work Order for Labor on Mass Change Allows the user access to the Move to Work Order Number field for labor on the Work Order Adjustment - Mass Change screen. Click on the Click here to make mass change to this work order link on the Parts & Labor Billed tab.
Display Part Price on Mass Change Screen Displays the parts price on the Work Order Adjustments - Mass Change screen through the Parts & Labor Billed tab by clicking on the Click here to make mass change to this work order link.
Create Parts Requisition When Work Order is Created This switch automatically creates a parts requisition when a work order is created.
Access Service Requests Gives the user access to the Service Request screen through the Open Work Orders screen by clicking on the Service Requests tab.
Default Estimated Hours to Job Code Hours Loads the value from the Job Code Hours field instead of the value from the Average Hours field on the Job Code Details screen into the Estimated Hours field on the Work Order Segment screen.
Access Multimedia Gives the user access to the Multimedia tab through the Open Work Orders screen by clicking on an Order Number.
Add Multimedia Allows the user to add multimedia to a work order from the Multimedia tab. If the switch is on, two links appear at the bottom of the Multimedia tab (Click here to add a link from the IntelliDealer server and Add an external link).
Modify Multimedia Allows the user to edit a multimedia link. If the switch is on, the file name under the thumbnail links to the Edit Link screen.
Default Status to Select Status

If selected, defaults the Status drop down list on the Segments tab within the work order system to Select Status instead of Active.

Note:  Select Status is not a valid segment status, if selected, an error message appears.

Allow Close Work Order to an On Order Unit Allows the user to close a work order that is associated to stock number with a status of On Order.
Allow Add From Service Requests Allows the user to quick add a work order or job request. The link Quick Add Work Order/Request appears if the switch is set to Work Order only , Job Request only, or Either a Work Order or Job Request.
Allow W/O Adjustment Parts Allows the user to access parts entries on a work order determines via checkbox and hyperlink.
Allow W/O Adjustment Labor Allows the user to access labor entries on a work order determines via checkbox and hyperlink.
Allow W/O Adjustment Mass Change Allows the user to make changes to multiple work orders by adding the "Click here to make mass changes to this work order." link.
Allow W/O Adjustment Refresh Prices

Allows the user to refresh pricing on a work order adding the "Refresh Pricing" button.

Automatic Equipment Search On Add If selected, the Equipment Listing screen automatically appears after selecting or entering a customer number on the Customer - Work Order Header tab.
Allow Bill Segments Gives users access to the Bill Segments link on the Customer - Work Order Header tab, allowing them to bill individual segments of a work order through the Bill Segments screen.
Access Vermeer IWarranty Gives users access to the Vermeer IWarranty interface.
Access JD Warranty Gives users access to the JD Warranty interface.
Allow Service Request Reopen Allows the user the ability to reopen a service request that has a status of Resolved.
Access Work Order Reversal

When enabled, the Reverse Work Order button is displayed.

By default, this switch is toggled off for all users.

Access JD Proactive Jobs Gives the user access to the John Deere Proactive Jobs interface.
Access Kubota Draft Claims Allows the user to submit draft warranty claims from the Work Order Repair screen.
Complaint Mandatory If selected, requires the user to populate the complaint memo field before the Work Order segment can be Signed Off or Closed.
Cause Mandatory If selected, requires the user to populate the cause memo field before the Work Order segment can be Signed Off or Closed.
Correction Mandatory If selected, requires the user to populate the correction memo field before the Work Order segment can be Signed Off or Closed.

Default Responsible Salesperson to Customer Profile

Allows access to the checkbox Default Responsible Salesperson to Customer Profile. This checkbox determines whether the system should use the customer's default responsible salesperson from their customer profile to populate the Responsible field.
Access CNH eWarranty Claim Submission Gives users access to the CNH eWarranty Claim Submission interface.
