Kubota Parts Order

To open the Kubota Parts Order tab, click the Transmit button on the Parts Order screen of a released Kubota order.

The Kubota Parts Order tab allows you to transmit an order directly to Kubota.

Note:  The functionality described in the above procedure is currently only available for American Kubota dealerships, however Canadian dealers can continue to use the Kubota Parts Order Download functionality.

The following fields appear on the Kubota Parts Order tab:

Note:  With the exception of the Order Type, Ship Warehouse, Default Ship Via, Active, PO Total, Warehouses and Ship Via fields, all of the values displayed in the following fields are from the original order created in IntelliDealer.

Field Description
Order Number The parts order number.
Status The current status of the order.
Location The location where the order was originally created.
Vendor The name of the part vendor for this order.
Type

The order type (as specified in IntelliDealer).

Note:  For a list of specific IntelliDealer order types, see the Parts Order topic.

Order Type The order type (as specified by Kubota); either Regular, Emergency, Promotional, Stock or Daily Stock.
Ship Warehouse

This field allows you to select a specific warehouse location to receive the parts from.

Note:  Warehouse options will only become available in this field after selecting the Validate button. For details, see the Transmitting a Kubota Parts Order procedure.

Discount % If applicable, the discount % to be applied to this order.
Comment If applicable, any comments from the original order will be displayed here.
Transmit The transmission status of the order, as specified on the original order.
Active Indicates whether the selected order is active in the system.
Default Ship Via

The shipping options for all the parts on the order.

Note:  If an option is selected here, it will automatically be selected for each part in the Ship Via field(s) below.

Program If the order type is a special order program, the program number is displayed here.
Ship Date The shipping date of the parts (as specified on the original order).
Due Date The expected arrival date of the parts.
PO Total The total cost of all parts on the order.
Transmit

The transmission status of the selected part (or the option to select the part for transmission) will be displayed in this field.

Note:  The system will not save the transmission status of each individual part after exiting the Kubota Parts Order tab. As such, remember to leave the tab open until all parts on the order have been sent to Kubota.

Part Number The part number you are ordering, as stored in IntelliDealer.
Description A brief description of the part.
Ordered The number of parts you are requesting for transmission.
Cost The cost of the part.
Extended Cost The Cost of the part multiplied by the quantity that has been Ordered.
Warehouses

Displays the Kubota warehouse locations where the selected part is available, as well as the current On Hand quantity at each warehouse.

Note:  The information displayed in this field is provided by Kubota.

Ship Via

The shipping method for the selected part.

Note:  If a Default Ship Via option is selected in the field above, that shipping method will be automatically selected in this field for each part on the order. If no option is selected in the Default Ship Via field, this field will appear blank.

The following buttons allow you to complete your work on the Kubota Parts Order tab:

Button Function
Validate

Will send the order information to Kubota. If the information is sent successfully, a validation message and a Transmit button will appear, allowing you to complete the transmission of the order. The Ship Warehouse field will also appear, allowing you to select a specific warehouse to receive the parts from (if applicable).

Note:  You should only validate and transmit the order after verifying all of the order details, including the Shipping Address for the part.

Close Closes the screen without transmitting the order.
Transmit

Completes the transmission of the order to Kubota. Once all parts on the order have been sent to Kubota, the Transmit and Validate buttons will no longer appear on the screen.

Note:  The transmission status of the parts is not saved if you close the screen. As such, ensure all parts have been sent to Kubota before closing the screen.
