This option is used to print the Department of Treasury Internal Revenue Service Miscellaneous Income Form 1099.
A

Amounts owed to vendors or creditors for the purchase of prepaids, supplies, equipment, service etc. These amounts are considered as outstanding until payments are made to them which reduce the amounts. In IntelliDealer these are normally recorded through the Accounts Payable system with the creation of vouchers.

The check run analyzes the outstanding vouchers and issue checks for all regular vouchers whose due date is less than or equal to the due date to be paid up until this run.

Closes the A/P month. This run produces month end reports showing all the General Ledger allocations generated through A/P for the month and year of the run.

Adds a record to the bank rec system for each rapid remittance voucher (manual check) processed by the run.

The balance of money due to a firm for goods or services delivered or used but not yet paid for by customers. Accounts receivable are listed on the balance sheet as a current asset. Any amount of money owed by customers for purchases made on credit is A/R.

A/R Agency codes are used to specify methods of payment available to the customer of a dealership. For example cash, credit card, or house account.

A user defined message that appears printed on all invoices given an A/R agency code of 9 (code 9 = A/R agency invoice message). For example, your A/R invoice prints with all usual data but also includes a line "please remit all payments to head office".

This option prints an accounts receivable detail report listing all invoices, payments, and balances by aging period as they would print on the accounts receivable statements.

This option is used to display additional customer information and a customer’s A/R Summary information for all A/R accounts and individual A/R account numbers.

Represents the method of printing for the customer's account receivable statement and the internal handling of outstanding invoices and unapplied credits.

If you wish to have ALL sales to a certain customer to be coded as one time sales, they will not record transactions as a bin trip or update the parts sales buckets. You would simply select Abnormal Sale in the Terms field of the Customer Profile.

These are accounts owed to vendors or creditors for the purchase of prepaids, supplies, equipment, service, etc. These amounnts are considered as outstanding until payments are made which reduce the amounts. In PFW IntelliDealer these are normally recorded through the Accounts Payable system with the creation of vouchers.

Can be defined as money owed to a dealership for services or merchandise that have been delivered or used, but not yet paid for.

Refers to any individual entry recording revenue or expense in the absence of a cash transaction.

Expenses that have been incurred but not recorded at the end date of the period, month, or year end date. The typical example of this is payroll expense.

Revenues that have been earned but not by the period end date since they have not been collected as payment is not due.

A method of depreciating property for tax purposes.

Used to adjust the job code hours for certain functions that may or may not have to be performed as part of the job code.

The closing of an accounting period. Often this is done on a monthly basis for most organizations. Many accounts need to be adjusted in order to be represented properly on the balance sheet. The classic example of this is prepaid balances and depreciation. The balance sheet shows a snapshot of the business and many accounts should not be at the value originally recorded after an accounting period has passed. For example, if insurance of $1,200.00 was recorded for prepayment on a one year policy then $100.00 should be expensed each month. Thus the prepaid reduced by this amount each month.

Reverses out the amount charged to the expense accounts involved and debits the bank for the amount of the canceled check.

Used to report on sales for each customer's A/R account, the last cash paid, the balance of the account, and the aging through current 30, 60, 90, and 120 day periods. This report may typically be used for reconciliation and posting of cash receipts. Options for printing an aged trial balance are:

Summary Aged Trial Balance—only the totals by aging period for each customer are printed

Detailed Aged Trial Balance—all invoices making up the totals by aging period for each customer are printed

The period of time being sampled (e.g. 30, 60, 90 days, months, etc.) to review an A/R accounts history or current state.

Used for sending financial information to a supplier. An alias account is also used to cross-reference your account to the supplier's chart of accounts. When an alias account is loaded in the system, the alias account field entry is used instead of your account number. The same alias account can be used on more than one G/L account. The total of all G/L accounts using the same ALIAS accounts will by calculated and transmitted.

A part is considered allocated when the part is sold on a rental contract, equipment invoice, or adjusted on a work order. Once parts are invoiced they are cleared from this field after a rental billing run and/or a regular billing run has been processed.

An alternate is a Category/Class/Sub Class similar to the Category/Class/Sub Class a customer is requesting information on. They act as a substitute if there are no machines currently available in the first Category/Class/Sub Class.

Used to expense costs for accounting purposes but are displayed as part of the cost of a particular machine. Using subtypes essentially gives each piece of equipment two costs - one, equal to book or Net Book Value, and one equal to a "Salesman Cost" which will include "tracked" but not capitalized costs or discounts (the subtypes).

Controls how the system functions when recording postings made to certain general ledger accounts.

An economic resource owned by a business and expected to benefit future operations.

Large items identified by serial number entered into the equipment system. It is recommended though that smaller attachments be controlled through the parts management system.

Involves critically reviewing a company's business methods and accounting system. The auditor expresses their option as to whether the financial statements reflect the financial position (balance sheet) and operating results (financial statement) of the company.

The average cost is automatically updated whenever parts are receipted in the system (either through inventory adjustments or parts orders).
To calculate Average Cost, assume a part is added to the system with a cost of $10.00 and 2 parts are receipted. The average cost is $10.00 for each of these 2 parts. Now assume the cost increases to $12.00 later in the year and 1 additional part is receipted after that cost has increased. The new average cost is calculated as follows:
(Old Avg Cost x Old on Hand) + (New Cost x Number of Parts Receipted at New Cost) / Old on Hand + Number of Parts Receipted
(10.00 x 2) + (12.00 x 1) / (2 + 1) = $10.66
B

This statement represents the assets, liabilities and owner's equity contained within the company or business for a certain time period.

A Base is typically an ordering code for a model of equipment. The Option Codes are a subset of each Base (add-ons that can optionally be part of the final specification for the unit).

The number a check will be associated with for the purpose of updating the general ledger.

A billing run is a batch processing of invoices to post the accounting, depending on the invoice.

The bin location or physical location of a part.

The planning of a company's financial activity before it occurs. The budget leads to summaries and reports that are used to compare the current accomplishments with the outcome of the company's financial plan.
C

The time period from January to December.

Also called a marketing campaign. A list of customers to which you market your business via email or letters.

Records the investments made in a company by an individual. This records both the initial investment and any additions or reductions of assets in the company by the owner.

During a payment transaction, log the actual amount of the transaction when preauthorized for a given amount.

This report is used to balance cash received from cash receipts in A/R, and cash received from invoicing applications such as Parts, Service, Rental, Equipment Invoicing and Key Invoices.

Any incoming moneys which are not based on credit (e.g. cash money, cheques, bank vouchers, money orders, etc.). Cash receipts are recorded and balanced in the general ledger to make sure that incoming amounts counted, match incoming amounts recorded and are applied to the appropriate A/R agency.

A list of all accounts tracked by a single accounting system.

Is used to reconcile the checks that have been cleared through your bank. It is also used to record all checks that were issued and then cancelled.

This option prints a report by vendor of all vouchers that would be paid during a check run. Before printing checks, it is recommended to preview the vouchers and amounts being paid to each vendor.

Customer Master File (customer account number). The IntelliDealer Global CMF number can be found in IntelliDealer, by navigating to Configuration > Miscellaneous > Other > System Settings and clicking the Location tab.

The "shell" that is returned to the dealer and is then rebuilt and sold as a part. These cores are either rebuilt by the dealer or the manufacturer. If they are rebuilt by the dealer, they will carry a dealer's warranty; if rebuilt by the manufacturer, then they will carry the manufacturer's warranty.

A new base part cataloged in the system and potentially linked to a Reman Part Number (new/base part) available in the system.
Core = New/Base Part

The default cost of sales as defined in percent and set in the related cost of sales account in the Chart of Accounts. The default percentage will only be applied if no entry is provided for the individual item, labor or piece of equipment.
Total Revenue - Costs = Costs of Goods Sold(Cost of Sales)

Collects, determining and controlling the costs of producing a given product or service. In the PFW world cost accounting could be considered for parts, service, rental or equipment sale.

Describes the direct expenses incurred in producing a particular item for sale, including the cost of materials and labor expense. Cost of sales does not include indirect expenses such as office expenses, accounting, shipping, advertising and other expenses that can not be attributed to a particular item for sale.

Amounts spent in order to earn revenue.

The Parts Availability report is often referred to as a Counter Pad.

An increase in a liability and a decrease in an asset.

Used to make an adjustment to the next check to be issued to an employee. Current adjustments are often referred to as one-time adjustments. Any current adjustments entered will only be applied to the next pay check issued.

Items that can be turned into cash.

Original cost plus any additions (frieght, pre-delivery, repairs, etc.) less any removals, rental costing. Original cost + all capitalized entries (work orders that hit the inventory account)

Items that are amounts owed for purchases and are expected to be paid as soon as possible and with no specific payment term.

Where all information pertaining to the dealership’s customers is maintained.
D

Data Miner allows you to build your own data access views so you can extract the information you need to make management level decisions.

An increase in an asset or a decrease in a liability.

Depreciation method that provide for a higher depreciation charge in the first year of an asset's life and gradually decreasing charges in subsequent years.

A deprecated feature is scheduled to be removed at a future date. You should discontinue use of the feature as soon as you can.

The expense relates to the theory that a piece of equipment used in a business (forklift ) has a useful life, the older and more used the asset gets the less value it holds.

The depreciation basis for an asset, calculated as: Original Cost - Non Depreciable portion + Adjustments - Salvage Amount - Section 179 amount.

Prints all invoices which make up the totals by aging period for each customer.

Used to group customers into a common pricing category.

Produces a report listing all the miscellaneous adjustments which were entered on the adjustment line of the Cash Receipts screen. Only those adjustments affecting accounts receivable that have been updated using the cash receipt update (that are still outstanding) well be printed. Adjustments for the current month and previous months will be included.

When a company earns a profit, some of it is reinvested in the business (retained earnings) and some of it is paid to shareholders as a dividend.

Prevents a part from being ordered on a stock order. Code D is used to indicate a part with a Do Not Order Code attached to it.

A two digit code that can be used to indicate the reason or reasons why a work order has been delayed.
E

The EOQ is a relationship between sales history, ordering cost, and carrying cost for a part. You want to order enough of the part to minimize the ordering costs, yet you do not want to order too many of the part or the carrying costs will increase. The EOQ will be higher for lower cost parts and lower for higher costs parts. The actual formula used is: The square root of { L12 (last 12 months sales for the part) x Ordering Cost / .12 x Net Price}

The percentage increase or decrease that is expected in sales for the corresponding part. The maximum is 999 and minimum is -99.

This table is used by dealers who participate in PFW’s eServices programs. It contains the default language used in eServices and IntelliDealer.

Elead is a Customer Relationship Management (CRM) tool that makes it easy for you to view, organize and analyze customer data.

Amounts spent for the general operation of a company and have no direct link to the gaining revenue.
F

Used to shift sales history used in calculating stock orders. The sales history can be shifted forwards or backwards a specified number of months.

Is a twelve month period used for calculating annual (yearly) financial reports.

Are non-liquid assets that are required for the company's day-to-day operations, they include facilities, equipment and real property.

Equipment that is on loan to a dealership, with the intention of being sold. If the machine is not sold, then the dealership must pay interest or purchase the machine outright.
G

The General Ledger date (MM/DD/YY) when a voucher is to be expensed.

The main accounting record of a business which uses double-entry bookkeeping. It includes accounts for such items as current assets, fixed assets, liabilities, revenue and expense items, gains and losses. The general ledger is a summary of all of the transactions that occur in the company. It is built up by posting transactions recorded in the general journal.

The profit percentage of the selling price. Revenue - Cost of Goods Sold = Gross Margin

Group codes are a way to organize equipment into various categories for reporting and searching purposes. Each dealer can create their own codes to best suit their needs. For example, you may want to have a group code for tractors to search for all makes regardless of the vendor.

A group of accounting numbers. Each group code corresponds to one line on the summary financial reports. Account number balances are combined together to form a single total. This total is then printed as a detail line on one of the summary financial statements.
H

This method of depreciation allows one half the full year's depreciation in the first year. This is based on the assumption that the asset being depreciated was placed into service half way through the first year (July 1). The taxpayer is entitled to another half-year of depreciation at the end of the normal recovery period in order to compensate for this calculation.

Used to record manually issued checks or to reverse previously issued checks.
I

Represents the activity of revenues, costs, and expenses over a period of time. Normally this is a twelve month period that is referred to as a fiscal year.

An inquiry invoice allows a salesperson to check parts availability without effecting the parts on hand quantity or creating a sales order.

The IntelliDealer mobile application available from both Google and Apple stores.

A module within IntelliDealer that allows Service Technicians to manage their work orders and track their hours. See Working with IntelliTech.

This represents the value of real assets purchased by a company for resale purpose. In the dealership environment this would include parts inventory and equipment inventory.

Counting takes place in organized batches over a designated period of time (or cycle); as opposed to shutting the shop down for a day and counting everything at once.

The total amount for this invoice, Net purchase Amount + Other Charges (tax and frieght)
J

A defined list of tasks or steps required to complete specified work (job code for changing a car tire, might include hoisting the car, loosening and removing lug nuts, and all the steps for removing and then replacing the tire).

Provides a link between credits and debits made to individual accounts by recording the entries and copying the journal to the ledger account records. The journal then is called a book of orignial entries and the ledger is a book of final entries.

A listing of journals in order by journal number is produced by this option. All journals or only journals that apply to the next G/L month can be listed.
K

This option is used to enter manually created invoices into the system, work orders, parts invoices, equipment invoices, etc can all be entered using this option. Adjustment invoices may also be entered for such items as internal charge transfers, adjustments to general ledger accounts, etc.

Assist in handling receivable accounts or clearing accounts (ie. warranty receivable). The system records every transaction affecting the selected account into a subledger file. These entries will remain on file until they are cleared. Subledger data is only accumulated for accounts coded as subledger accounts.

A part that belongs to a group or kit that is used for a specific function or repair.

Are quantifiable measurements that reflect the success factors of a dealership.
L

When claiming labor, indicate the type of labor that was performed (e.g., Shop Labor, Clean Up, Field Work, etc.).

A part is the final cost of the part on an order after all applicable Order Creation and Order Update cost code factors have been applied to the Current Cost of the part. Cost factors are applied when the part is ordered and receipted into the system based on the order Type (eg. SO: Stock Order, MD: Machine Down, FI: Fill In, etc.) The Landed Cost of a part will, in turn, be factored into the Average Cost of a part (as specified in the Average Cost field of the Parts Profile tab.)

The number of weeks between the time it is determined a part should be ordered, and the time that the parts are actually received from the vendor.

Assets that are owed to another party.

The life of the asset. The number of years it takes to depreciate the asset.

A single instance of a dealership. A branch of the company.

Assets that are not expected to be turned into cash or other liquid assets within one year.

A liability like a loan that is paid with terms over a period of many years.

These are amounts that are owed over a long period of time, longer then one year (i.e. mortgage).

The number of times a part could have been sold if it had been in stock.

The total quantity of the part that could have been sold if it had been in stock.
M

A machine down order, is an indication that there is an emergency (a machine is down in the field) and a part needs to be ordered and delivered immediately.

The margin worksheet is a workflow application integrated into IntelliDealer's equipment quoting system and is used to approve or deny an equipment quote based on the margin of the quote (total equipment Price minus total equipment Cost), as displayed on the Margin Worksheet tab.

Also called a campaign. A list of customers to which you market your business via email or letters.

The current method of accelerated asset depreciation used by the United States. Assets are divided into separate classes which indicates the number of years which an asset's cost will be recovered.

The first two digits of a make/model code are reserved for the make of the unit e.g. CA 2950.

This method of depreciation is used if the asset was purchase and placed into service in the midpoint of the last quarter of the taxable year (the previous quarters depreciation + ½ the depreciation for the quarter the asset was purchased).

These charges are based on a percentage of parts, labor or both parts and labor, but they can also be flat dollar amount charges (e.g., shop supplies, environmental charges).

The ID MobileAccess (IDMA) version of IntelliTech allowing Service Technicians to log in and manage their work orders from the mobile app.

The last four digits of the make/model code are reserved for the model of the unit (e.g. CA2950).

The formula is: Invoice amount - Discount amount = Net amount.

The net value of an asset. Equal to its original cost (its book value) minus depreciation and amortization. Net Book Value = Current cost - all writedowns (depreciation)

Equal to the income that a firm has after subtracting costs and expenses from the total revenue. Net income is sometimes called the bottom line because it is typically found on the last line of a company's income statement.
The formula is: Gross Margin - Expenses = Net Income

The formula is: Invoice Amount - Other Charges = Net Purchase Amount.

The amount of the asset in dollars that can not be depreciated. This reduces the depreciation basis.

Are parts or equipment units too small to have their own serial number. Like a serialized unit, a non-serialized unit is configured with a Category / Class / Subclass. However, unlike serialized inventory, non-serialized units have a part number attached to their Category / Class / Subclass.

Is a balance sheet term referring to a company's outstanding bank loans. Notes payable accounts are listed in the G/L.

These are amounts owed to the dealership when they sell parts, service, etc. to customers who have an internal account with the dealership.
O

Original Equipment Manufacturer

The situation where a customer calls to say that they are finished using a rental unit and the unit is ready to be picked up and transported back to the dealership. When a unit is set to “Off-Rent” all billing will cease on the unit, but it will not yet be considered Returned.

The on hand quantity of a part.

The on order quantity of a part.

A code assigned to parts. The system uses this code to determine when the part should be reordered and the quantity of the part to reorder. Each part can be assigned its own code.

The quantity of parts that should be ordered when an order is placed for the part.

The original cost of the unit before any charges and applied.

The difference between the trade in amount and the actual cash value of the trade in unit. For example, The trade in amount may be listed as $2000.00 but the trade in is only worth $1500.00. In this case the overallowance would be the difference between the two values $500.00.

The general ledger account number that the overallowance amount from a trade-in unit will be applied to.

Displays a warning message stating that the start and stop information overlaps one or more existing entries for a technician.

Enables you to change the date which prints on the invoice from the system date to any date of your choice (thus overriding the system date).

Is any debt owed to the business owners.
P

The minimum package quantity that a supplier sells the part in. If the supplier sells the part in quantities of 10, then the minimum quantity that can be ordered is 10.

Occurs when a quantity of non-serialized units are rented but the customer returns some units before returning the others. An invoice can be printed for the returned items, while the other items remain on rent in the contract.

The parts accrual system is an optional feature in which the system makes entries to the inventory general ledger account when parts are received, providing inventory account balancing to the parts sub ledger details. These accounts will hold the balance of parts orders that have been received but not vouchered.

A type of facility that is responsible for distributing parts for a vendor.

Credit issued to the dealer for parts handling costs when returning failed parts to a vendor.

A detailed parts summary report.

The parts per package signifies how the system will maintain inventory on this part e.g. consider a part number for a 100 foot roll of hydraulic hose. By ordering 1 of that part number, 1 roll of hose (100 feet) is received. The hose is sold by the foot so when the part is receipted, we want to receipt 100 rather than just 1.

Applies a special terms discount to an invoice.

A Period is the number of hours, days, months, or weeks before a Service Agreement job comes due.

Describes a part transitioning from non-stocking to stocking. Parameters are used to determine when a part will phase in to become a stocking part. e.g. greater than or equal to 3 sales or greater than or equal to 3 demands in the last 12 months.

Describes a part transitioning from stocking to non-stocking. Parameters are used to determine when a part will phase out to a non-stocking part. For example, less than or equal to 2 sales or less than or equal to 2 demands in the last 12 months.

Picking Ticket/Packing Slip

Used by manufacturers for product improvements and recalls.

This abbreviation could be Parts Order (Parts) or Purchase Order (A/P) depending on the module it is used in.

Used to adjust the work order labor rate to obtain special labor rates.

These are assets and are payments made in advance for things such as rent or insurance coverage. They are considered a premium as future value is purchased. Over time the prepaid is reduced to an expense when portions are consumed or expire.

A grid used to set percentage increases for parts based on current price and sales. You can configure multiple price matrices for different vendors, and for different part groupings within a vendor. Then, within the part's profile, you can set which matrix should be applied to the part.

Pricing levels usually refer to such things as wholesale price or fleet price.

This option is used to print A/R statements at any time during the month. An accounts receivable statement will print for each customer having an outstanding A/R balance, or having activity since the last time A/R statements were printed (activity means one or more invoices or payments).

The interface for JD Proactive Jobs, formerly JD SVAP, allows IntelliDealer users to receive service agreement information and events for agreements via John Deere's Proactive web-service. This information can also be managed in the View Service Requests from the Work Order listing screen.

A summary of a company's profit or loss during any one given period of time, such as a month, three months or one year.

A branch or division of a company that directly adds or is expected to add to the entire organization's bottom line. In IntelliDealer, it is identified by the last 3 digits of the chart of accounts number.

Assigned to protective parts to indicate that the part is to be excluded from stock transfers.

Indicates that this part is to be protected from being transfer for a period of time.

The number of parts that are to be protected from a stock transfer.

Refers to the offer for tender of particular public transport routes which, in a free market, would not attract sufficient revenue to be viable, but would provide a socially desirable advantage. A disadvantaged, lightly populated area might have a route subsidized to a regional or national capital to facilitate industrial development.
R

Vouchers that have already been paid by a hand written check. The voucher entered will debit all expense accounts, credit the bank account (and discount account if applicable), and post the check as a check issued to the bank reconciliation system.

Used to identify the type of account, in order for the Financial Ratios to be generated in Management Central. An account can be coded with up to 4 separate codes.

A term used to describe an account payment. This can be for internal A/R (i.e. customer makes a payment on his A/R account at the parts counter) or third-party credit card authorizations (i.e. Farmplan, JDC2, CNH, assuming these companies allow this). Regular credit cards do not work this way though, only vendor cards such as JDC2. See Advanced Deposits.

A code of up to 10 alpha- numeric characters. The code is used as a label for a part. This code is used to associate parts with a reclass table and the lines within that table. You can use the Reclass code to group parts. This is not the same as the OFC but is dealer-defined.
This code can be specified on the Part Profile Ordering Information tab in the Reclass text field.

From a IntelliDealer system perspective, reconditioned means that the dealership is paying for the part.

The minimum level that the inventory is allowed to be depleted to before an order is placed for the specific part. The amount of inventory below the reorder point is used to fill customer orders between the time the parts are ordered and the time the parts are received.

A Regular voucher is one that is to be paid automatically generated by a computer check. The voucher is added to the outstanding payables file and will remain on the file until paid, or until a matching reversal is entered.

A re-manufactured part is cataloged in the system and linked to the core part number (new/base part) available in the system.

This option prints rental invoices and updates the rental system.

One rental unit may be "Exchanged" for another by selecting a new stock number and a Reason Code (if configured) in order to classify the Exchange.

Occurs when a machine is returned or coded as returned. If the option to recalculate and optimize is chosen, the system will calculate the optimum combination of durations and quantities to give the customer the best possible price based on actual use of the equipment.

The rental unit can then be set to "Returned" status once the unit has been physically returned to the dealership rental yard.

Prints a list of selected rental units showing potential revenue, actual revenue, total expenses, and percentages for actual to potential and expenses to actual. Totals are given for the life of each unit.

A part is considered reserved when the part is keyed as a non-serialized rental, the part is issued on a sales order, the part is issued on a sales order requisition, the part is put on reserve using cash code R, a Machine Down or Field Inspection order has been created to special order the part, and then receipted in using parts order maintenance, causing the part to be issued. Parts are no longer reserved after a sales order billing run has been processed.

The customer has returned goods and the merchant returns the payment to the customer.

Amounts received for the sale of assets or commodities or the sale or services.

The quantity of parts that have been ordered machine down or fill in for customers (or work orders) plus the quantity reserved for customers (or work orders).

A journal in which the entries are the reverse of the original journal. In IntelliDealer, a reversing journal is linked to the original journal. The reversing period must be in future.

A measurement of the last twelve months of financial activity, independent of the fiscal year.

Maintains parts in stock so you don't run out of stock. Maintained as a fixed amount or as a percentage of sales history

During a payment transaction, a sale is the authorization and capture in one step.

Salvage value is an estimate of the value of the asset at the time it is sold or disposed of; values may be zero or even negative. Also known as scrap value or residual value.

The section of the machine that the job code applies to. Section is a subset of model. Section codes may be defined in your vendor's technical manual.

Allows a taxpayer to elect to deduct the cost of certain types of property on their income taxes, as an expense rather than requiring the property to be capitalized and depreciated. This property is limited to tangible, depreciable, property which is acquired for use through trade or business.

The IntelliDealer Traffic system arranges and tracks the movement of equipment from branch to customer, customer to branch, or branch to branch. It allows for many different transaction Types, user-definable Subtypes, In- or Outbound shipments, and Pickups or Deliveries.

A Trial Balance performs the following functions: 1. Determines the balance of each account in the ledger. 2. Lists the accounts that have balances with debits in the left hand column and credits in the right hand column. 3. Adds the debits and credits for each column. 4. Compares the sum of debits to the sum of credits, which should be equal. If a trial balance balances it is assumed that no errors have been made.

The model/base code is only produced at certain times of the year and the dealer has missed the current production run so the unit(s) will not be manufactured until the next season. It may also mean that the model/base code has been discontinued or replaced and will never be produced.

Same as a return: the customer has returned goods and the merchant returns the payment to the customer. But it happens before the end of day batch has been run. Whether it is a return or a void is determined by the system.

A voucher is a document used by a company’s accounts payable department to gather and file all of the supporting documents needed to approve the payment of a liability. A voucher could be considered bills or invoices that are expenses incurred and to be paid by a dealership, for example, hydro, signage, cleaning expenses, shipping or OEM expenses.

A one time reduction in asset value to arrive at an accurate appraisal of inventory. When an asset which has been depreciated is sold, the PFW system will reverse all “W” (writedown) type entries found in the history of the machine. The reversal will be done to the same account to which the “W” type entry was originally posted. Once the reversal is done, if the Current Cost and the Net Book Value of the machine are not equal (meaning that there is still some depreciation that has not been reversed), the difference between the two will be posted to the G/L account defined in this field, with an offset to the Cost of Goods Sold account defined for the unit.

Used when you wish to print a list of all journal entries that affect a specific (or all) G/L accounts for the current fiscal year.
