Demo/Loaner Accounts

Use the Demo/Loaner Accounts screen to set up accounts used to post rental revenue and costing entries to demonstration and loaner units. When a demo or loaner rental unit is rented the system uses the accounts entered on this screen in the invoice details and for billing runs.

Demo/Loaner Accounts can create special costing invoices for items that are returned if Demo/Loaner % of Acquisition Cost is set up in the relevant Category/Class/Subclass. These accounts are used to calculate special costs for returned demonstration or rental unit invoices. The contract details G/L account is based on the rental rate setup.

To open the Demo/Loaner Accounts screen, navigate to Configuration > Rental > Demo Loaner Accounts.

Setting up Demo/Loaner Accounts

  1. Navigate to Configuration > Rental > Demo Loaner Accounts.

  2. Select a Location by clicking on the Search icon next to the Select Location field.


  3. On the Location Selection screen, click on a Location.


    Note:  

    Click on the Previous or Next icon to scroll to the next branch location or back to a previous branch location. Only locations that have been previously set up will appear when using the Previous or Next icons.

  4. Enter a Demo Rental Sale Account. Demo rental revenue and costing entries will be posted to the account entered.
    - or -
    Click on the Search icon and select an account from the Account Lookup screen.

  5. Enter a Loaner Rental Sale Account. Loaner rental revenue and costing entries will be posted to the account entered.

    Click on the Search icon and select an account from the Account Lookup screen.


  6. Click the Save button to save the new demo and loaner accounts.

Deactivating a Demo/Loaner Account Configuration

  1. Navigate to Configuration > Rental > Demo Loaner Accounts.

  2. Select the Active for System checkbox, removing the checkmark.

  3. Click the Save button to deactivate the demo/loaner account configuration.

Screen Description

The search field on the Demo/Loaner Accounts screen is:

Field Description
Select Location Set up demo/loaner accounts for the selected location.

Click the Previous or Next icon to scroll to the next location or back to a previous location.

The fields on the Demo/Loaner Accounts screen are:

Field Description
Demo Rental Sales Account Posts demo rental revenue and costing entries to the account entered.
Loaner Rental Sales Account Posts loaner rental revenue and costing entries to the account entered.
Active for System

Controls whether the demo/loaner account configuration is active for use within the system.

  • Selected—activates or reactivates the demo/loaner account configuration within the system.
  • Not Selected—indicates that the demo/loaner account configuration is deactivated within the system.

Select the Click here to copy demo/loaner account setup to another location link to copy an existing demo/loaner account setup from one location to another.

Use these buttons to complete your work on the Demo/Loaner Accounts screen:

Button Description
Save Saves changes made to the Demo/Loaner Accounts screen.
Save & Close Saves changes to the Demo/Loaner Accounts screen and returns to the Configuration Quick Links screen.
Close Closes the Demo/Loaner Accounts screen without saving and returns to the Configuration Quick Links screen.
