Equipment Listing

The Equipment Listing screen allows you to search for equipment, add equipment to an invoice and create a new equipment profile.

To open the Equipment Listing screen, navigate to:

  • Product Support > Equipment > Equipment Profile - for read/write access.

  • Management Central > Equipment > Equipment Profile - for read-only access.

Search Functions

Use the search bar to search keywords or if you know specific search terms (i.e. serial or stock number on an equipment unit).

Combination searches use 'OR' search logic and adds a space between values in the main search bar.

Combination searches use 'AND' search logic when the Filter () option is used.

By default it is a partial string search. Customer number alone would not be considered a partial search.

To keep specific search fields open or closed by default use the Sticky feature.

Note:  Searching by location is not supported.

The status options for selecting equipment are:

Status
Field Description
All Search through all status options for the selected unit.
Invoiced Search Invoiced equipment status (the unit has been invoiced to a customer) for the selected unit.
Inventory Search Inventory equipment status (the unit is physically in stock) for the selected unit.
On Order Search On Order equipment status (the unit is on order with the supplier) for the selected unit.
Sold Search Sold equipment status (the unit is physically in stock and has been tagged for a particular customer) for the selected unit.
Pre Sold Search Pre Sold equipment status (the unit is on order with the supplier for a specific customer) for the selected unit.
Rental Search Rental equipment status (the unit is a rental unit) for the selected unit.
Deleted Search Deleted equipment status (the unit has been removed) for the selected unit.
Quote Search Quote equipment status (the unit is being priced for a customer) for the selected unit.
Transferred Search Transferred equipment status (the unit has been transferred to another dealer) for the selected unit.

These search fields on the Equipment Listing screen are:

Stock Number Search for a stock number by entering a stock number.
Make/Model Search for a stock number by entering a make/model code.
Customer Number Search for a stock number by entering a customer number.
Supplier Invoice Search for a stock number by entering a supplier invoice number.
Fleet Number Search for a stock number by entering a fleet number.
Salesperson Search for a stock number by entering a salesperson.
Class Search for a stock number by entering a class code.
Group Search for a stock number by entering a group code.
Location Search for a stock number by entering a location.
From/To Serial Numbers

Search for a stock number by entering a serial number.

To search for a stock number containing the specified characters, use the From field alone.

To search for a stock number that starts with the specified characters, use the From and To fields together.

Either usage searches for all serial number types: Machine, Engine, Transmission, and Sound Guard.

Type Search for a stock number by selecting an equipment type from the drop down list.
In/Out Search for a stock number by selecting either in or out traffic status from the drop down list.
Base Number Search for a stock number by entering a base number.
Equipment Identifier Search for the unit's specific OEM (Original Equipment Manufacturer) number.
Options

Search for a stock number by entering an equipment option.

To search for equipment featuring all selected options, leave the (OR) check box unchecked. If the box is checked, the search finds all equipment that has one or more of the selected options.

The Reset button clears all fields of their data for the form to be refilled.

Opening the Equipment Listing screen from Management Central or Product Support shows search results from across all divisions.

The results fields on the Equipment Listing screen are:

Field Description
Stock Number

The unit's stock number.

A marks the most recent Stock Number if there are multiple instances of the same Model or Serial number.

Description A brief description of the unit.
Location The location where the unit is current located.
Type The unit's type code (e.g. New or Used).
Status The unit's current status
Group The unit's group code.
Make/Model

The manufacturer of the unit.

The model number on the unit.

Base The unit's base number.
Serial Number The unit's serial number.
Fleet Number The unit's fleet number.
Hours The amount of hours currently on the unit's hour meter.
Net Book Value

Calculated as the current cost less any writedowns credited to a writedown account (most commonly used when reevaluating inventory for year end or income tax purposes).

If the equipment unit was automatically costed when invoiced, the Net Book Value appears in red.

To display additional information fields, click the to open the Context menu and select from these optional fields:

Extended Information
Field Description
Customer The name of the customer who purchased or rented the unit last. When a unit is rented or invoiced the system automatically enters a name.
Yard Location A designated physical place within the selected location.
Date Sold The date the unit was sold.
In/Out Whether the unit is in the location(in) or not in the location(out). The Traffic Sub Code appears next to the In/Out field value.
Model Year The model year of the unit.
Hours 2 If available, the amount of hours currently on the second hour meter on the unit.

Click the Copy Equipment button to open the Copy Equipment screen.

Click the Quick Add On Order Unit button to open the Add On Order Units screen.

Click the Delete Quick Add Unit button to open the Delete Quick Add Unit screen.

Click the Create button open a new Equipment Profile screen.

The Close option closes the screen.
