CNH CSPS Claim Entry

Use the Claim Entry screen to create a CNH CSPS claim, including claim lines and optional surcharges, and submit it to CSPS.

Prerequisites: To use this screen, you must first set up the CNH CSPS interface. See CNH CSPS Interface.

To open Claim Entry from a released Parts Order that uses a CNH CSPS parts vendor, open the order and click Create CSPS Claim. IntelliDealer loads the order’s parts into the claim lines grid when possible and retrieves invoice line information to help complete dispatching (delivery document) data.

You can also start a new claim from Claim Details Inquiry by clicking Create (see CNH CSPS Claim Details Inquiry). In that case, the Back button is available to return to the inquiry screen after you enter the claim.

Header area

Fields at the top of the screen are:

Field Description
Claim Reason Required. Select the reason for the claim from the drop-down list. The reason you select controls which other header and line fields are available, optional, or required, including Invoice Number, Received Part, Dispatch Note, Dispatch Note Date, Credit Price, Notes (line), and whether surcharge lines are allowed.
Invoice Number The CSPS invoice number. This field is enabled or required only when the selected Claim Reason allows it. When you open the screen from a parts order, IntelliDealer attempts to set this value from CSPS invoice lines that match the customer order number.
Claim Notes Optional header-level notes for the claim (multi-line text).

Surcharge lines

When the selected Claim Reason allows surcharges, a surcharge grid appears above the claim lines. Each row represents one surcharge line to send with the claim.

Field Description
Surcharge Code Required for each surcharge row. Select a surcharge type from the drop-down list (CSPS surcharge types).
Surcharge Amount Required for each surcharge row. Enter the surcharge amount as a number (zero or greater).
(remove) Click the remove icon at the end of a row to delete that surcharge line.

Claim lines

The claim lines grid lists each part line included on the claim. When you open Claim Entry from a released parts order, IntelliDealer preloads rows from the order: part numbers and Claim Quantity default to the ordered part and original order quantity. If invoice line data is returned for the same part numbers, Dispatch Note and Dispatch Note Date are filled from the delivery document information on those invoice lines.

Columns in the grid are:

Field Description
Order Number CSPS order number associated with the claim line.
Line Number Line number on the CSPS order.
Subline Number Subline number on the CSPS order.
Part Part number for the line. For most claim reasons this field is required. For certain claim reasons (where the reason code begins with ), Part and Claim Quantity are not required.
Claim Quantity Quantity you are claiming for this part. The same rules as Part apply for whether this field is required.
Received Part Part number received when the claim reason requires or allows a received part. Availability follows the selected Claim Reason.
Dispatch Note Delivery document (dispatching note) number from CSPS when the claim reason allows delivery document fields. May be supplied automatically from matched invoice lines.
Dispatch Note Date Date associated with the dispatch note when the claim reason allows it. May be supplied automatically from matched invoice lines.
Credit Price Credit price for the line when the claim reason allows or requires it.
Notes Line-level notes when the claim reason allows or requires them.
(remove) Click the remove icon at the end of a row to delete that claim line.

Action buttons

Use these buttons to complete your work on the Claim Entry screen.

Button Description
Submit Sends the claim to CSPS. The button is disabled until required fields pass validation. After a successful submission, IntelliDealer opens the Claim Details view for the new claim.
+ Add Part Adds an empty row to the claim lines grid so you can enter another part line manually.
+ Add Surcharge Adds an empty row to the surcharge grid. Use this when surcharges are allowed for the selected Claim Reason.
Back Appears when you opened Claim Entry from Claim Details Inquiry. Click Back to return to the inquiry screen.
