Parts on Order

Use the Parts on Order screen to view on order details of a selected part. To access the screen, click the Parts on Order link on the Customer Profile screen.

Information fields on the Parts on Order screen are:

Information
Field Description
Name The customer's name.
Business Phone Number The customer's business phone number.
Salesperson The salesperson assigned to the customer's account.

Fields on the Parts on Order screen are:

Field Description
Part Number The number of the part currently on order.
Description A brief description of the part.
Quantity The amount of parts on order.
Date Released The date the order was released.
Date Due The date the part is to arrive.
Status The status of the order (e.g. changeable - not yet released, on order, or on back order).
Location The location the part was ordered from.
Order Number

The transaction order number where the part was ordered from.

If the order number is hyperlinked, a memo exists for this order. Click the link to display the memo.

Click a Part Number to open the Parts Profile screen for further information on the selected part.

Note:  If an order has already been released, the system does not allow you to allocate more quantity than what has been placed on order (less any other allocations).

Click Close to complete your work on the Parts on Order screen and return to the Customer Profile screen.

On Order Details

Use the On Order Details screen to view all of the current orders on the system that the selected part number is on. To access the screen, click the On Order Details link on the Parts Profile screen.

Sorting options on the On Order Details screen are:

Sort by
Field Description
Order Number Sort the search results by order number.
Due Date Sort the search results by due date.
Type Sort the search results by type.

Search fields on the On Order Details screen are:

Show Special Orders

Includes special orders in the on order details search results (e.g. MD - Machine Down).

Orders created for customer number $STOCK$ (representing a customer stock order) are always displayed on the On Order Details screen, regardless of whether this checkbox is selected.

Fields on the On Order Details screen are:

Field Description
The checkbox indicates the existing stock order you wish to use to allocate parts from to fill your current order quantity needs.
Order Number The purchase order number.
Type The type of order (e.g. machine down).
Reference Number The sales order reference number.
Name The name of the customer requesting the order.
Date Released The date the order was released.
Due Date The order arrival date.
Status Status of the order (e.g. changeable - not yet released, on order, or on back order).
Quantity The amount of parts on order.
Allocated The number of parts on the order that are allocated to customers.
In Transit The term in transit means on the way. This value is determined by the pending order receipts system.

Move the cursor over an Order Number and select View from the pop-up menu to open the Parts Order screen and view order details.

Move the cursor over an Order Number and select Memo from the pop-up menu to open the Purchase Order Memo screen if there is a memo on the order.

Click the quantity link under the In Transit field to open the In Transit screen to view a list of pending order receipts for the selected part number.

Select the Click here to add to next stock order link to add the part number to the next available stock order.

Click Allocate to work with the checkbox to allocate parts off an existing stock order to fulfill your current order quantity needs.

Click Close to complete your work on the On Order Details screen and return to the Parts Profile screen.
