Work Order: Printing Parameters

The Printing Parameters tab allows you to configure a work order's printing parameters before printing. It may be necessary to create a hard copy of a work order for billing purposes, or to obtain a customer authorization signature. A variety of print commands are available to produce different work order formats.

The work order system provides the option of printing the work order by either:

  • Listing a subtotal of the charges for each repair, the parts and labor charged to each repair and a final total for the entire work order.
    -OR-

  • Listing the parts and labor charges at the end of the work order after the description of all the repairs. Only a final total is printed, if this format is desired, all parts and labor transactions can be charged to repair 1.

To open the Printing Parameters tab, move the cursor over an Order Number on either the Open Work Orders or Close Work Orders screen and select Edit or Print from the pop-up menu.

Select the number of copies you want to print from the corresponding printer option drop down list.

The fields on the Printing Parameters tab are:

Field Description
Print Prices If selected, includes prices on the work order.
Print Job Code Parts List Prices Applies to PRS and PWS formats and includes job code parts list prices on the work order.
Print Barcode If selected, includes barcodes on the work order. This field is only selected if you are using the barcode system to capture labor entries.
Work Order Printer The printer to print the selected work order.
Tray Number The tray number of the selected printer to use when printing.
PRT Parts & Labor after each segment (no W/G info)

Prints a parts and labor subtotal after each segment description. All parts used are also listed after each segment and a final total of all segments is printed.

PWT Parts & Labor after each segment (unit info)

Prints in the same format as PRT except that the equipment unit is printed at the top of the first page of the work order. The base code and base description followed by each option code and option description are printed. This format is usually used for setting up work orders or work orders where the details of the machine are required.

PRL Parts & Labor after all segments (no unit info) Prints the segment description for all segments, then all parts used on the work order are printed. Only final totals are printed.
PWL Parts & Labor after all segments (unit info)

Prints in the same format as PRL except that the equipment unit is printed at the top of the first page of the work order. The base code and base description followed by each option code and option description are printed. This format is usually used for setting up work orders or work orders where the details of the machine are required.

PRN Only segment descriptions (no unit info)

Prints in the same format as PRL except no parts are printed. This format is usually used on work orders where a large number of parts have been charged against the work order. The segment description and any memos entered on the Memos tab print, reducing the number of pages required.

PWN Only segment descriptions (unit info)

Prints in the same format as PRN (includes segment description and memos entered on the Memos tab) except that the equipment unit is printed at the top of the first page of the work order. The base code and base description followed by each option code and option description are printed. This format is usually used for setting up work orders or work orders where the details of the machine are required.

PRS Same as PRT plus standard part list Similar to the PRT, but includes the standard parts list.
PWS Same as PWT plus standard part list Similar to the PWT, but includes the standard parts list.
Work Order Details

Click on the Preview link to view a preview of the work order details and print it if desired.

Work Order Summary

Click on the Preview link to view a preview of the work order summary and print it if desired.

Point-of-Sale Device

Indicates the point-of-sale device selected to capture your customer's signature via an installed point-of-sale device.

Click on the Point-of-Sale Device link to open the Point-of-Sale Device screen. The Point-of-Sale Device screen allows you to search for and select an alternate device.

Use these buttons to complete your work on the Printing Parameters tab:

Button Function
Save Saves changes made on the Printing Parameters tab.
Save & Close Saves changes made on the Printing Parameters tab and closes the work order.
Close Closes the Printing Parameters tab and closes the work order.
Print

Prints the work order and selected options.

  • No dates are printed on the Repair# line in the body of the invoice if the PO Number begins with a less than sign (<), as specified on the Customer - Work Order Header tab.

  • The message "This Work Order Will Be Emailed" is displayed next to the Print button if the selected work order meets the conditions outlined in the Email Header Configuration topic, and if the contact on the order has been configured to receive automatic emails from the system.

  • If the Print words for Warranty/Internal prices checkbox is selected for the location, the words "Warranty" and "Internal" are printed in place of any warranty or internal prices on the invoice. See System Settings - Location.

Preview Previews the quote. Allows the user to email or text PDFs and also send VESign.
