Rental Counter - Details

You can use the Details tab to view and edit details of the rental transaction, including:

  • type of rental transaction (rental request, rental reservation, or the type of contract)

  • the date and time that the equipment goes out to the customer and comes back to the dealership

  • basic details of the rental unit: machine type, stock number, and unit description.

To open the Details tab, on the Rental Counter screen hover over a Contract Number and select Edit from the pop-up menu, or click the Need to create a new contract? Click here to add link.

Note:  Depending on how the system is configured, you may be able to see (but not rent) machines from other locations.

The Information fields on the Details tab are:

Field Description
Contract Number The rental contract number.
Customer Name

The name of the customer associated to the contract.

If the contract was created for a miscellaneous customer, the name specified in the Ship To field on the Customer tab of the contract appears.

VESign The status of the VESign document.
Location The branch location of the rental contract.

The fields in the Contract Summary section of the Details tab are:

Type

The type of rental contract.

Rental

Typical rental contract.

Rent-to-Purchase A contract where you rent until you eventually own the product.
Demo Rent A contract where you are demonstrating the product.
Loaner A contract where you are borrowing the product as a loan.
Held RTP These options apply as they do above but the billing of a Held contract is paused until otherwise specified.
Held Demo Rent
Held Loaner
Reservation A contract where the product is pulled from sale before purchase.
Out The date and time the unit's contract began.
In

The date and time the unit is scheduled to return. Optional, unless you have configured it to be mandatory (see Date In Required on Functionality) .

This field is used to enter the projected rental in date that a customer has communicated to your dealership for when they are finished with that rental unit. This date will help with what is shown on the availability screen and it is recommended to keep this date updated as the contract occurs in order to anticipate what the customer expectation would be for the units return date.

Line The line number of the contract.
Stock Number The inventory identification number or unit number of the rental unit.
Description A brief description of the unit.
Quantity

The quantity of the rental duration (e.g. week, month, or day).

If you enter a negative quantity in this field and click Save IntelliDealer saves the line to the contract, but still allows you to edit the details. Once you move to another tab within the contract however, you will no longer be able to edit the details of the credit line.

Duration

The total time the unit is out on the rental contract.

Applying a downcost amount on a rental line locks the Duration field, preventing users from altering the duration value on the rental line.

If a unit has a Static or Fixed duration as set up on the Extended Details screen the words Static or Fixed appear in parenthesizes next to the duration type.

Valid rental duration values are set up on the Rental Duration screen.

Type The rental unit type.
Rate

The dollar amount for renting the unit for the scheduled duration of the rental contract.

Applying a downcost amount on a rental line will lock the Rate field, preventing users from altering the rate value on the rental line.

Amount

The total dollar value of the rental contract.

If the Rate Authorization Required switch is set to Decrease or Both and the Authorize Credits switch is activated (both of which are located on the rental control setup Functionality tab), any lines with a negative value that are added to the contract will require authorization.

The fields on the Contract Detail section of the Details tab are:

Type

The unit type that is being rented on the corresponding rental contract, either Stock Item (a rental unit in stock) or Non-Serial Item (are parts or equipment units too small to have their own serial number).

Stock Number

The inventory identification number or unit number of the rental unit.

If there are attachments associated to the category, class and subclass of the selected Stock Number (as specified in the Rental Category, Class and Subclass Maintenance program of the green screen application) the Parts/ Miscellaneous Charges and Attachments screen will automatically open after adding the stock number to the contract.

Description A brief description of the unit.
Quantity The quantity of the rental duration (e.g week, month, or day).
Duration The total time the unit is out on the rental contract.
Rate

The dollar amount for renting the unit for the scheduled duration of the rental contract.

At this time, the Rate limit is 99999.99 or less than 100,000.

Rates The type of rental duration rate listed by hour, day, week or month.
Standard The standard rental duration rates for the corresponding rental duration type.
Customer The customer rental duration rates (factors in customer exemptions and discounts).
Override

Allows you to increase or decrease rental duration rates.

At this time, the Override limit is 99999.99 or less than 100,000.

When creating a rental Request or Reservation, a Category/Class search link appears allowing you to search for a stock number by category/class.

Click the Add Attachments link next to the Type field to add attachments to the contract using the Parts/ Miscellaneous Charges and Attachments screen. The Add Attachments link only appears if there are attachments associated to the category, class and subclass of the selected Stock Number (as specified in the Rental Category, Class and Subclass Maintenance program of the green screen application).

If you select a Non Serialized Item option from the Type field drop down list, these fields will appear in the Contract Detail section of the Details tab:

Field Description
Part Number The part number of the non serialized item.
Units The quantity of parts.

Select the Click here to add rental contract details link to add contract details.

Use these buttons to complete your work on the Details tab:

Button Function
Save

Saves changes made on the rental contract on the Details tab.

Clicking Save may also prompt you to send a rental rate authorization request under the following conditions:

  • You are licensed for feature number 6206 and are using the Rental Rate Authorization system
  • You have entered an override rate on the contract
  • The Print Invoices In Billing Run switch is activated on the Billing/ Invoice tab

Note:  If you wish to change information on the Extended Details screen, click the Details button before clicking the Save button. Once the Save button is clicked, information on the Extended Details screen can no longer be modified.

Done

When you are finished adding information to the rental contract, clicking the Done button gives you the option of printing the rental contract prior to closing the screen.

Details The Details button opens up the Extended Details screen.
Delete Deletes the selected rental contract.
Rerent

Allows you to flag the contract as a re-rent and add the unit's Machine Serial Number to the corresponding MEMDES file which, in turn, will print the serial number on the rental invoice. This button should only be used on contracts with a re-rent stock number. For details, see the Creating and Renting a Rerent Stock Number topic.

This button does not appear if the unit has been Returned or Exchanged, or if the contract has been deleted or is complete.

This button appears highlighted in red if it has already been marked as re-rent and the machine serial number has already been added to the MEMDES file.

Package Pricing Opens the Package Price/Discount screen which allows you to discount rates for all items on the contract and discount package pricing on related stock numbers and attachments.
Close Closes the Details tab without saving and returns to the Rental Counter screen.
Signature

If you are using a signature device at your dealership, allows you to capture a signature for the contract.

This button only appears if the Signature Required switch has been activated on the CASHTAB table of the Cash Code on the contract. If you do not have access to the green screen application to turn this switch on or off, contact your system administrator.

This button will also not appear if the Capture Electronic Signatures switch is deactivated on the Authorization List for Product Support - Parts Invoicing screen, or if the contract was created for a customer that is marked as Internal or has Transfer selected in the Terms field of their Customer Profile.

When the VESign feature is enabled and active in a location, the Signature button is hidden and its functionality is disabled, regardless of any other configuration.
