Parts Availability

You can use the Parts Availability screen to check the availability of a specific part, including any cross-referenced and substitute part numbers.

To open the Parts Availability screen, click the Parts Availability link on the Parts Listing screen. Or, click on the hyperlink for the On Hand of a part. For example, from the Parts Profile or Parts Invoicing.

  • An uppercase XREF indicates a parent cross reference part.

  • A lowercase xref indicates a child cross reference part.

  • An uppercase SUBS indicates a parent substitution part with an On Hand quantity of at least 1.

  • A lowercase subs indicates a child substitution part.

The sorting options on the Parts Availability screen are:

Sort by
Field Description
Store Priority Sort the search results by store priority, as configured on the Parts Store Priorities screen.
Quantity Sort the search results by On Hand quantity.
OFC

Sort the search results by order formula code.

Months Supply Sort the search results by the Months Supply value.

The search field on the Parts Availability screen is:

Field Description
Select Part Number

Search for parts availability by entering a part number.

In some cases, an arrow may appear on the left and/or right of the select part number input field. Use these arrows to scroll through the parts from the previous screen.

The fields on the Parts Availability screen are:

Field Description
-

The relationship of any secondary parts associated to the part you searched for.

-

The store location of the part that you are searching for.

-OR-

The secondary part numbers.

Description

A brief description of the part.
Price The selling price of the part, as per the part profile.
On Hand

The part's on hand quantity. This value includes any shipments that have been receipted as part of an inventory adjustment or purchase order, but does not include any parts sold since the last sales order billing run.

If No Master appears in the On Hand field and no information is listed for the part, the part is not loaded as a master for that store. However, pricing, source and class may appear because the part was already loaded in another branch location. If a new part number is desired, enter the part number in the Select Part Number field.

On Order The quantity currently on order with the supplier.
L 12 Sales The last 12 months of sales for the selected part number.
Source

The part's source of supply code. This typically represents the part's originating warehouse location.

Valid source of supply codes are configured and listed on the Source of Supply screen.

Class

The class code of the selected part. In conjunction with the Type code, the class code is used to group similar parts together.

Valid class codes are configured and listed on the Classes screen.

Type

The type code of the selected part. In conjunction with the Class code, the type code is used to group similar parts together.

Valid type codes are configured and listed on the Types screen.

Inventory Stocking Code The part's inventory stocking code, as provided by the vendor. This field is used exclusively for Deere and Komatsu parts.
Bin

The bin number of the selected part, indicating its physical location.

If this field appears highlighted, alternate bins exist. Move the cursor over the Bin number to view alternate Bin location numbers.

Return

The return code for the selected part, which indicates whether it is returnable.

New return codes are configured on the Return Codes screen, however vendor-supplied return codes are not configurable within IntelliDealer. For more information regarding a specific vendor's return codes, contact the vendor.

OFC

The order formula code for this part. This code determines the method to be used in computing the order quantity for a part.

If the Parts Dispersal -6189 feature is licensed on your system, OFC 5 parts are highlighted in red if one of these conditions are met:

  • The location contains stock (net on hand), and the stock is flagged as corporate stock.
  • The location contains a parts order with outstanding quantity that was created from the dispersal stock order run. The order must be on order or back order.
  • The location will receive a dispersed order for the part on the next stock order run.

Months Supply

The number of months of supply for the selected part based on the current On Hand quantity of the part. The calculation for the value displayed in this field is (On Hand quantity x 12 ) / L12 Sales.

Months Supply will = 0 if the On Hand quantity value of 0 is divided by L12 Sales value of 0.

0 will be displayed in this field if the On Hand quantity of the selected part is less than or equal to 0 and the L12 Sales value is 0.

99 will be displayed in this field if the On Hand quantity of the selected part is greater than 0 and the L12 Sales value is 0.

Use these buttons to complete your work on the Parts Availability screen:

Button Function
Options Opens the Parts Availability Options screen, allowing you to customize the information displayed on the Parts Availability screen.
JD Availability Opens the John Deere Availability screen, allowing you to display parts availability information for John Deere.
Komatsu Availability Opens the Komatsu Availability screen, allowing you to display parts availability information for Komatsu.
Volvo Availability Opens the Volvo Parts Availability screen, allowing you to display parts availability information for Volvo.
Vermeer Availability Opens the Vermeer Parts Availability screen, allowing you to display parts availability information for Vermeer.
Kubota Availability Opens the Kubota Availability screen, allowing you to display parts availability information for Kubota.
Ditch Witch Availablity Opens the Ditch Witch Availability screen, allowing you to display availability information for Ditch Witch.
Close Closes the Parts Availability screen and returns to the Your Parts Availability screen.
