User Security

To access the Work With Security Switches screen, click the link for the desired system or switch. You can control access to the security switch for individual users or user groups.

Access Printer Output Gives the user access to the Printer Output screen accessed by selecting Printer Output from the Quick Links drop down list.
Allow Change of Other Users Printer Output

Allows the user to search for and view other user's printer output. When enabled, the User ID field on the Printer Output screen is unlocked.

Not applicable for ASP dealers. Users on ASP can never access other user's printer output.

Access Writers Allows the user access to the Writers screen by clicking on the Click here to work with writers link on the Printer Output screen.
Access Click to Call

Activates the CDK VoIP Link solution within the IntelliDealer system, if feature 6161 or 6167 has been licensed. This gives users the ability to call a customer by move the cursor over any phone number or customer name within the system. The Click to Call icon also appears throughout the system when this switch is active.

Allow UEM to Change Expiration Date on Used Evaluations Allows the used equipment manager to change expiry dates after an evaluation is accepted into history. You can do this by accessing the evaluation through history and the date is hyperlinked.
Log User Activity When enabled, a user's screen activity within IntelliDealer is logged to the database file WEBLOG.
Allow Access To File Uploads Allows the user access to file uploads from the Multimedia tab.
Allow Access To Equipment History Allows the user to access equipment history from the Equipment Profile screen.
Allow Access To Invoice History G/L Details Allows the user to access the G/L details link within Invoice History.
Allow Parts Invoice History Signature Capture

When enabled, a Signature button is added to parts invoices that have already been added to Invoice History, allowing the user to add or replace a signature.

This button only appears if the user has an entry in the Point-of-Sale Devices configuration and if the customer's Terms code is not set to Transfer in the Customer Profile.

Note that when the VESign feature is enabled and active in a location, and for the specific feature (for example Rental Counter), the Capture Signature/Signature button is hidden and its functionality is disabled, regardless of whether this switch is enabled.

Allow Customer Quick Add Allows the user to access the customer quick add link on customer search screens throughout the system.
Allow Equipment Quick Add Allows the user to access equipment quick add link on equipment search screens throughout the system
Restrict Invoice Type Selection Restricts the Invoice History screen to showing just the invoices for the respective Product Support area the user is in. For example, if the user accesses Invoice History from the Product Support - Parts menu, the system only shows parts invoices.
Receive Completion Message for Batch Jobs When enabled, the user receives an IntelliDealer message when a job submitted to batch is completed.
Allow Viewing of Other Users PDF/Printer Output Allows the user to view other user's PDF output.
Show Equipment Reference Amount Allows the user to view the Reference Amount field on the Equipment Profile screen.
Delete Task Allows the user to delete completed tasks from on the Add Task/Action screen. When enabled, a delete button appears.
Access Performance Monitor Allows the user access to the Performance Monitor screen at Support > Performance Monitor.
Highlight Errors When enabled, error messages are reverse highlighted at the top of the screen to make messages more apparent to the user.
Highlight Data Entry Fields When editing existing data, changed data entry fields are highlighted yellow.
Equipment Margin Worksheet Notification

Controls if and how a user is notified when a margin worksheet is sent to them. The message includes the quote number of the margin worksheet that requires review. The choices are:

  • None—no notifications
  • Email—email notifications
  • ID MessageIntelliDealer messages.
Secure Customer Equipment Quotes By Salesperson ID When enabled, prevents users from viewing equipment quotes created by other salespeople on the corresponding customer's Quotes screen.
Secure Customer Parts Quotes By Salesperson ID When activated, prevents users from viewing parts quotes created by other salespeople on the corresponding customer's Quotes screen.
Secure Customer Service Quotes By Salesperson ID When activated, prevents users from viewing service quotes created by other salespeople on the corresponding customer's Quotes screen.
Access View Logs Allows the user to access View Logs at Support > View Logs.
Display FileBound Invoice Details Allows the user to view accounts payable invoices from within FileBound, assuming feature number 6211 has been enabled for the dealership and the FileBound interface has been properly configured.
Update primary contact email address When enabled, when an invoice or quote is emailed to a customer, if the customer's primary contact email address is currently blank (as specified on the Edit Contact screen), the system automatically updates the contact's email address with the address that the invoice or quote was sent to.
Create Messages Allows the user to access the Messages screen, allowing them to send IntelliDealer messages to other users.
Show Cost On Work Order Details (WPSPLB) Report

When enabled, IntelliDealer includes the Cost, Extended Cost, and Profit values on the Work Order Details report (WPSPLB).

Service Connect Administrator This switch has been deprecated.
Protect Work Order Information When enabled, the user is prevented from seeing certain fields (Customer Charged, Warranty Charged, Internal Charged, Hours Worked, and Hours Charged) on the Work Order details screen.
Access Cloud Printing N/A
Access Date Format Allows the user to access the Date Format in the user's My Profile screen.
Allow Access to Worldpay Portal

Allows the user to access card not present transactions using Worldpay.

This feature allows a user to enter the credit card information into a window that is hosted by Worldpay and for IntelliDealer to recognize the transaction. It does not require the use of a physical device to provide this functionality.

View all users VitalEngage Text Conversation History Allows the user to view the text conversation history for all configured alert phone numbers.
Allow Access to Text-To-Pay
