Customer
The Customer tab allows you to create a new customer rental contract agreement.
To open the Customer tab, click a Contract Number or the Need to create a new contract? Click here to add link on the Rental Counter screen .
These Information fields appear on the Customer tab:

Contract Number | The rental contract number. |
Location | The branch location where the rental contract was created. |
The fields on the Rental Contract section on the Customer tab are:

Customer |
The number of the customer renting the unit. If security switch Show Notifications when utilizing Customer is enabled and the customer has notifications, a link appears below the customer. Click the link to see the notifications. See Customer Notifications. |
Contact |
The customer contact associated to the contact. Any print outs related to the contract include this name. Select the icon next to this field to open the VitalEngage Text application. |
Salesperson | The salesperson creating the rental contract. This field defaults to the user's default salesperson ID (if loaded on the user's profile). |
Responsible | If the salesperson associated with this rental contract is different from the salesperson entering in the information the responsible salesperson can be entered here. |
PO Number | The customer supplied PO number. |
Ship Via |
The carrier being used to ship the unit (e.g. UPS). Note: The Ship Via screen controls whether the ship via field is populated automatically with the source work order number. |
Discount | This field indicates the default discount code for this invoice. The discount codes must be set up on the Discounts screen before they can be used. |
AvaTax Entity Use Code |
This code identifies any special designation for a customer (eg. Agriculture, Government, etc). If you are creating a deposit part number, and you are using AvaTax, the part should be created with AvaTax Entity Use Code NT (non-taxable) because Avalara does not calculate taxes on deposits. |
Tax 1 | The default TAX 1 code for this invoice. If this field is left blank, the TAX 1 code set up for this customer in the Customer Profile tab are used. Tax 1 codes must be set up on the Tax 1 screen before they can be used. |
Tax 2 | The default Tax 2 code for this invoice. If this field is left blank, the Tax 2 code set up for this customer in the Customer Profile tab are used. Tax 2 codes must be set up on the Tax 2 screen before they can be used. |
Tax 3 | The Tax 3 code for this invoice. If this field is left blank, the Tax 3 code set up for this customer in the Customer Profile tab are used. Tax 3 codes must be set up on the Tax 3 screen before they can be used. |
Tax 4 | The Tax 4 code for this invoice. If this field is left blank, the Tax 4 code set up for this customer in the Customer Profile tab are be used. Tax 4 codes must be set up on the Tax 4 screen before they can be used. |
Charge Method |
The method/cash code the customer is using to pay for the rental. |
Identification 1/2 | If identification is required for rental, enter the identification number in this field (e.g. driver's licence number). |
Expiry | The expiry date on the identification card. specified above. |
Pre Authorization | For third party agencies, an assigned pre-authorization number can be entered. |
Invoice Start Digit |
Enter the first digit for the rental contract invoice number. The first digit may be used to differentiate between different types of rental transactions (e.g. rentals and rental purchases). |
Total A/R | The customer's current accounts receivable balance. If you want to see a detailed summary of the amount in the Outstanding A/R screen, click the amount shown. |
Credit Limit |
The customer's maximum credit limit. A dealer-maintained customer credit rating may appear next to the Credit Limit field (e.g. AA). |
Available Credit |
The customer's current available credit as maintained in the customer's profile. Note: Feature 6178 AND activating special credit checks are required to see this field. Activate at Configuration > Misc. > Other > System Settings > Location tab under Financial. |
Sold to |
The name and address of the customer associated with the at the rental unit. |
Ship to |
Ship to is an
alternate address where the unit is to be shipped. This address defaults to the customer's main ship to address setup on the Ship to tab within Customer Profile. If

Pricing Group |
The user can set a pricing group to customer ship-to's. The pricing group is driven by CUDPG on CMASTR. Note: There is no edit on this field as it is a user-defined value. |
Job Site |
The Location/Address where the job site is physically located. Select a job site from the look up menu. If no job site information has been loaded for that customer, the name of the job site can be entered manually. |
Insurance Certificate | Indicates that the customer has an insurance certificate. The certificate information is pulled from the Rental tab on the customer's profile. If the customer does not have an insurance certificate loaded, a damage wavier charge may be (if a damage waiver is set up on the category/class/subclass code) applied to any rental contracts for the customer. |
Insurance Expiry |
The customer's insurance certificate expiry date. Note: If the selected customer's insurance policy expiry date is updated on the Rental tab of the customer profile, the system does not automatically update the Insurance Expiry date field on this or any other rental contracts associated to the customer; the date must be maintained manually in both areas of the system in order to remain accurate. |
Select the Click here to view activity log link to display the activity log for the selected rental contract.
Note: To access the rental activity log select the Use Logging field on the Rental - Functionality tab
Use these buttons to complete your work on the Customer tab:
Button | Function |

Save | Saves changes made on the Customer tab. |
Save & Done | Saves changes made on the Customer tab and closes the return contract. |
Close | Closes the Customer tab without saving changes and returns to the Rental Counter screen. |
Delete | Deletes the select rental contract. |
