Inspections

Use the Inspections screen to view or edit an existing inspection, add a new inspection, access inspection history, or print an inspection form.

You can access the Inspections screen from the Product Support > Equipment > Inspections.

The following fields appear on the Inspections screen are:

Field Description
Select User Search for a inspection by entering a user's ID.
Select Make/Model Search for an inspection by entering a make or model code.
Select Status Select from the available status options.
Select Inspection Type Search for an inspection by entering an inspection type.
Select Modified Date

Narrow down the inspection search results by selecting a modified date range.

Select Group Code Search for an inspection by entering a group code.
Select Stock Number

Search for an inspection by entering a stock number.

If you search for a Stock Number and there is no current inspection found under your name, the system will do one of the following:

  • If you are a sales representative, the last historical inspection found will be displayed (provided there is no current inspection under someone else's name).

  • If you are a OEM, the system will display any current inspection regardless of who has it. If there is no current inspection, the system will display the last historical.

In either case, if the unit is in inventory and an inspection is more current, it will be displayed.

Select Accessibility Select the accessibility category for an inspection.

The fields shown on the Inspection screen depend on your role and access. The fields on the Inspections screen are:

Field Description
Inspection Number The number of the inspection.
Inspection Type The type of inspection.
Modified The date the inspection was modified.
Created By The user that submitted the inspection.
Location The branch location where the inspection was created.
Serial Number The serial number of the evaluated unit.
Accessibility The accessibility status of the unit.
Status

The current status of the inspection.

Once a service request is picked up by a technician or service manager the status of the request changes to Being Inspected by Service and the request can only be displayed. The sender can no longer change it.

Note:  Last minute inspection comments entered by users are displayed in Red below the inspection. *(R) indicates that the inspection has been resubmitted.

The evaluation statuses are:

Status Description
Pending Request The used evaluation has been created but not yet submitted to either management or service.
Submitted Request The used evaluation has been submitted to management for review but has not yet been picked up by a manager. The salesperson can still go in and make modifications and/or undo the submitted request returning the evaluation back to pending status.
Service Request The used evaluation has been submitted to service for inspection. The evaluation can be edited but cannot be forwarded to the next stage until service has completed the inspection and sent it back.
Being Inspected by Service A service representative has picked up the evaluation and is in the process of performing the inspection.
Request Being Evaluated A manager has picked up the evaluation in order to perform their evaluation.
Accepted Request The manager has accepted the request. At this point the salesperson can place the evaluation into history or resubmit it.
Rejected Request The manager has rejected the request. At this point the salesperson can resubmit or delete the evaluation.
Pending Request An Inspection only has been created but not yet place into history.
