Parts Substitution Notes

Part substitutions are typically used when a part is discontinued and is replaced with another part or multiple parts. In IntelliDealer, part substitutions are indicated on a sales order or requisition under the Extended Price column as one of:

  • SUB—the part is the parent part

  • sub—the part is the child (or replacement) part in part substitution relationship.

On the second line of the parts invoice, under the description column to the right IntelliDealer adds: "Note: PartB is a Replacement for PartA."

Consider a basic example in which Part A (parent) subs to Part B (child):

  • If part A is used, and there is an on-hand quantity available, IntelliDealer issues the part like normal and does not show any SUB link or notation in the extended price column.

  • If part A is used, and there is no on-hand available, IntelliDealer displays the the SUB link in the extended price column. Click the link and the system will replace part A with part B regardless of the on hand quantity of part B.

  • If part B is used, regardless of its on hand quantity, the sub notation displays in the extended price column if part A has available on hand. The sub notation is just a display to indicate that this part is a substitution for another part. If part A doesn’t have any on hand, then the sub notation is not displayed.

IntelliDealer searches for substitutions beyond the current location, to ensure that all locations get rid of old inventory first, regardless of where it resides. The dealer can use the Parts Availability screen to see where the part is located.

If multiple subs exist, the logic is pretty much the same. Consider the example where Part A subs to Part B which subs to Part C:

  • If part A is used and you have the on hand, it will issue like normal with no SUB option in the extended price column.

  • If part A is used and there is no on hand available, IntelliDealer displays the SUB option available in the extended price column. Click on it to replace part A with part B regardless of the on hand quantity of part B.

  • If part B is used and you have the on hand, it will issue like normal and display the sub notation in the extended price column if part A has an on hand quantity.

  • If part B is used and you don’t have the available on hand quantity, you will see the sub notation in the extended price column if part A has an available on hand quantity. If part A also doesn’t have any on hand then you would see SUB in the extended price column. Click on it to replace part B with part C regardless of the on hand quantity of part C.

  • If part C is used, regardless of its on hand quantity, the sub notation displays in the extended price column if parts A or B have available on hand.

If one part subs to multiple parts, again the logic is very similar. Consider the example where Part X subs to Part Y and Part Z

  • If part X is used on you have the on hand, it will issue like normal with no SUB option in the extended price column

  • If part X is used and there is no on hand available, you will see the SUB option available in the extended price column. Click on it to replace part X with parts Y and Z regardless of the on hand quantity of parts Y and Z.

  • If parts Y or Z are used, regardless of their on hand quantity, the sub notation displays in the extended price column if part X has available on hand. If part X doesn’t have any on hand, then the sub notation does not display.
