Customer: Quote Header
The Customer - Quote Header tab allows you to view or change the quote header information.
To open the Customer - Quote Header tab, click a Reference Number or the Need to create a quote? Click here to add link on the Work Order Quoting tab or the Parts Quoting tab.
If security switch Show Notifications when utilizing Customer is enabled and the customer has notifications, a link appears below the customer. Click the link to see the notifications. See Customer Notifications.
The Information fields on the Customer - Quote Header tab are:

Reference Number | The work order quote reference number. |
Quote Status |
The status of the quote.

The signing status of the VESign document. Can be one of:

Location | The location where the work order quote was created. |

Customer |
The number of the customer requesting the quote. If security switch Show Notifications when utilizing Customer is enabled and the customer has notifications, a link appears below the customer. Click the link to see the notifications. See Customer Notifications. |
Contact |
A customer contact can optionally be selected and prints on the quote as the invoicing address. Select the icon next to this field to open the VitalEngage Text application. |
Salesperson | The salesperson creating the quote. Defaults to the user's default salesperson ID. |
Responsible |
The salesperson responsible for the quote. This field is for informational purposes only, however it is included on print-outs related to the quote. This field is mandatory if the Responsible Salesperson Required switch is activated on the Parts & Service Quote Settings screen. |
Description |
A brief description of the quote. The Description field is used on the Work Order Quoting screen as a reference field and does not appear when the quote is printed. |
Expiry Date | The date when the quote is considered expired (as set up on the Parts & Service Quote Settings screen). |
PO Number | The customer supplied PO number. |
Ship Via | The carrier shipping the unit. |
Estimated Close % | The estimated percentage that the quote will be accepted and converted into an invoice. |
Date | The estimated date the quote will be accepted an converted into an invoice. |
Tax 1 Parts & Labor |
Applies the selected Tax 1 code to the parts and/or labor added to the work order. If this field is left blank, the Tax 1 code configured for the selected customer on the Customer Profile tab will be used. Valid Tax 1 codes are listed and configured on the Tax 1 screen. Default labor tax codes are configured in the Labor Only Tax 1/ Tax 2 fields of the Customer Profile and in the Labor Only Tax 1/ Tax 2 fields of the Edit Alternate Ship to/Add Default Ship to screens. If default labor tax codes have been assigned to both the Customer and the Ship To address on the order, the default tax codes associated to the Ship To address will take precedence. |
Tax 2 Parts & Labor |
Applies the selected Tax 2 code to the parts and/or labor added to the work order. If this field is left blank, the Tax 2 code configured for the selected customer on the Customer Profile tab will be used. Valid Tax 2 codes are listed and configured on the Tax 2 screen. Default labor tax codes are configured in the Labor Only Tax 1/ Tax 2 fields of the Customer Profile and in the Labor Only Tax 1/ Tax 2 fields of the Edit Alternate Ship to/Add Default Ship to screens. If default labor tax codes have been assigned to both the Customer and the Ship To address on the order, the default tax codes associated to the Ship To address will take precedence. |
Tax 3 |
Applies the selected Tax 3 code to the entire work order (parts posted to the work order & labor posted to the work order). If this field is left blank, the Tax 3 code configured for the customer on the Customer Profile tab will be used. Valid Tax 3 codes are listed and configured on the Tax 3 screen. |
Tax 4 |
Applies the selected Tax 4 code to the entire work order (parts posted to the work order & labor posted to the work order). If this field is left blank, the Tax 4 code configured for the customer on the Customer Profile tab will be used. Tax 4 code is only applied to parts posted to the work order if the Allow tax on work order labor charges Y/N switch is set to N in the CMBR table of the legacy system. Valid Tax 4 codes are listed and configured on the Tax 4 screen. |
Discount | The discount value assigned to this quote. |
Total A/R | The total A/R represents the customer's current accounts receivable balance. Click the link to open the Outstanding A/R – Accounts Receivable Customers screen. |
Credit Limit | The customer's maximum credit amount, maintained on the A/R Agency tab. |
Available Credit |
The customer's current available credit as maintained in the customer's profile. Note: Feature 6178 AND activating special credit checks are required to see this field. Activate at Configuration > Misc. > Other > System Settings > Location tab under Financial. |
Sold to |
The sold to name and address of the customer associated with the service quote. |
Display in MyDealer | Indicates whether this quote should be displayed in the quote section of the MyDealer product. |
Ship to |
An
alternate address where the unit is to be shipped. This address defaults to the customer's main ship to address setup on the Ship to tab within Customer Profile. If
additional ship to addresses exist, a Search Taxes loaded on the Ship to location override the taxes loaded on the customer. |
Pricing Group |
The user can set a pricing group to customer ship-to addresses. The pricing group is driven by CUDPG on CMASTR. There is no edit on this field as it is a user-defined value. |
Unit Selectors (1 - 4) |
The units selected on the Customer tab and allows entry of the unit number beside each part. If only one unit is selected and you key a part number then the unit number field defaults to 1. When a Parts Quote is accepted and moved into a Parts Invoice, the unit information on the quote is automatically moved to the invoice. |
Note: You are required to print the quote at least once before the quote will appear in MyDealer.
The Quote Segment section lists the first five segments on the quote.
The fields in the Quote Segment section of the Customer - Quote Header tab are:
Quote Segment | |

Field | Description |
Segment Number | The number of the quote segment. |
Job Code |
The job code number and job code description associated to the segment. If MULTIPLE appears in this field, more than one job code has been selected for the segment. |
Status | The status of the segment, which represents the type of work being performed; either Customer, Internal, or Warranty. |
Technician | The name of the technician assigned to the segment. |
Parts | The total price of all parts that have been added to the segment. |
Labor | The estimated dollar amount that will be required to complete the labor on the segment (Rate/ Hour x Hours). |
Hours | The estimated time (in hours) that the selected segment needs to be completed. |
Click the Click here to convert this to a work order quote link to convert a parts quote to a work order on the Customer - Quote Header tab.
Click the If you would like to accept this quote, click here link to accept a quote.
Note: Once a quote is accepted and/or converted into a work order, any multimedia associated to the quote (as specified on the Multimedia tab) is automatically added to the work order that is created.
Use these buttons to complete your work on the Customer - Quote Header tab:
Button | Function |

Delete | Deletes the selected quote. A pop-up asks for confirmirmation. |
Save | Saves changes made on the quote. |
Save & Close | Saves the changes made on the quote, closes the Customer - Quote Header tab and returns to the Parts Quoting screen. |
Close | Closes the Customer - Quote Header tab and returns to the Parts Quoting screen. |
