Link to Work Order

Use the Link to Work order option to link a service agreement to an existing segment or add a new one to an existing open work order. To make the link to an existing segment, the job code on the segment must match the job code on the service agreement line. When the link is made to an existing segment, quoted values from the service agreement overwrite the Quote/Estimate tab values already entered on the segment of the work order.

The Link to Work Order screen can be accessed from the Contract Details tab by moving the cursor over the Status field and selecting Link to Work Order from the pop-up menu or from the Scheduling tab by moving the cursor over the Contract field and selecting Link to Work Order from the pop-up menu.

Linking a Service Agreement Contract to a Work Order

  1. From anywhere in IntelliDealer, navigate to Product Support then select one of the Equipment, Service, or Rental lists and click the Service Agreements link.

  2. To search for a specific service agreement, fill out the appropriate fields and click Go >>.

    The Service Agreements tab refreshes, listing the generated search results.

  3. Click on a Contract Number.

  4. Move your cursor over a Status and select Link to work order from the pop-up menu.




    The system populates various fields with information from the selected service agreement contract. You may edit any of the fields that the system has automatically populated.

  5. Fill in the fields as required, referring to the table below.

  6. Click Save.

    The Contract Details tab appears with a message indicating that the work order was successfully linked.

Screen Description

The fields that on the Link to Work Order screen are:

Field Description
Work Order

The number of work order that the service agreement should link to.
Location

The location where the job will occur. Defaults to the Location entered on the Contract Details tab of the Service Agreement.
Technician Select a specific technician to perform the maintenance.
Status Select a work order status from the drop down list.
Estimated Hours The amount of hours the service is estimated to take.
Estimated Completion The estimated date of completion. This field defaults to the scheduled date on this line of the contract.

Use these buttons to complete your work on the Link to Work Order screen:

Button Function
Save Saves changes made on the Link to Work Order screen.
Close Closes the Link to Work Order screen without saving and returns to the Contract Details tab.
