OEM Warranty Claims

Use the OEM Warranty Claims screen to search, review, and create warranty claims submitted from IntelliDealer to supported OEM manufacturers. The listing stores claim header data, parts, labor, and miscellaneous charges after submission so you can review what was sent to the OEM.

To access OEM Warranty Claims, navigate to Product Support > Service > OEM Warranty Claims.

Note:  Only claims saved or submitted through the OEM Warranty Claims workflow appear on this listing. Claims submitted through legacy manufacturer screens before this module was enabled are not shown.

Search Fields

Enter one or more search values, then click Search to filter the listing.

Field Description
Manufacturer Code Limits results to claims for the selected OEM manufacturer.
Submission Status Limits results to claims in the selected status. Values are Pending, Draft, Submitted, and Success.
Location Limits results to claims for the selected branch location.
OEM Claim Number Searches by the claim number assigned by the OEM.
Work Order Number Searches by the associated work order number.
Repair Number Searches by the work order segment repair number.
Serial Number Searches by the machine serial number on the claim.
Dealer Code Searches by the OEM dealer code on the claim.
Start Date Limits results to claims created or submitted on or after this date.
End Date Limits results to claims created or submitted on or before this date.

Listing Columns

Matching claims appear in the listing grid. Click a Work Order Number link to open the claim detail screen.

Column Description
Work Order Number The work order associated with the claim. Click to open the claim detail screen.
OEM Claim Number The claim number assigned by the OEM, when available.
Repair Number The work order segment repair number included on the claim.
Manufacturer Code The OEM manufacturer for the claim.
Location The company, division, and branch location for the claim.
Serial Number The machine serial number on the claim.
Submission Status The current claim status in IntelliDealer.
Submitted The date and time the claim was submitted to the OEM.
Created The date and time the claim record was created in IntelliDealer.

Creating a New Claim

To create a warranty claim from work order data:

  1. On the OEM Warranty Claims listing, click Create New Claim.

  2. On the Select Manufacturer & Work Order window, select the Manufacturer, Location, and Work Order Number, then click Continue.

    Only manufacturers licensed for OEM warranty claim submission appear in the Manufacturer list.

  3. On the Warranty Claim Segment Selection screen, select one or more segments, then click Continue.

    IntelliDealer loads the selected segment data into a new claim and opens the manufacturer claim detail screen.

Warranty Claim Segment Selection

The Warranty Claim Segment Selection screen lists open segments for the selected work order. Select one or more segments to include on the claim, then click Continue.

Column Description
Segment Number The work order segment repair number.
Job Code Description The segment description.
Failure Date The failure date on the segment, when present.
Status The current segment status.

Note:  You must select at least one segment before you can continue.

Claim Detail Screen

Click a claim in the listing to open the manufacturer warranty claim detail screen. The screen title identifies the manufacturer (for example, Komatsu Warranty Claim Submission).

The detail screen includes these tabs:

Some manufacturers include additional tabs on the detail screen. For example, Komatsu claims include an Attachments tab.

Common header fields on the Claim Information tab are:

Field Description
OEM Claim Number The claim number assigned by the OEM. This field is read-only after submission.
Work Order Number The work order associated with the claim.
Repair Number The work order segment repair number included on the claim.
Manufacturer Code The OEM manufacturer for the claim.
Location The branch location for the claim.
Serial Number The machine serial number on the claim.
Submission Status The current claim status in IntelliDealer.
VIN The vehicle identification number, when applicable.
Model The machine model on the claim.
Dealer Code The OEM dealer code for the claim.
Repair Date The date the repair was completed.
Failure Date The date the failure occurred.
Customer Name The customer name from the work order.
Submitted The date and time the claim was submitted to the OEM.
Submission Error Message An error message returned by the OEM when validation or submission fails.
