Setting up Technician Overtime in IntelliTech

Technician overtime in IntelliDealer is based on IntelliTech and MobileTech entries. Entries keyed in under the supervisor screen do not count for overtime calculations.

To calculate overtime, configure the IntelliTech Setup screen (Configuration > Service > General > IntelliTech Setup) to specify:

  • the overtime type (Daily or Weekly)

  • the overtime start hours (how many hours the tech must work before hours are logged as overtime).

  • if overtime is calculated weekly, then you need to specify the start of the week too

Tip: To make sure the overtime hours are reset correctly ensure that technicians aren't logged in overnight into a new week (if overtime type is weekly) or that there is a minimum 6 hour gap between sign ons (if overtime is calculated daily).

How Overtime is Calculated

Overtime calculations reset only when the technician is signed off, and it is either the start of a new week (for overtime type weekly), or it has been six hours or more between the last sign off and current sign on time (for overtime type daily).

For example, if the overtime start of week is Monday, then overtime for the previous week is accumulated till the last day of the OT week (Sunday). IntelliDealer resets the overtime value on Monday if the last sign off date for the technician is 11:59 PM Sunday.

However, if a technician signed into a work order on Sunday and forgets to log off until Monday morning, then overtime calculations are not reset because the system does not know that a new overtime week has begun. The last sign off date will show Monday and even though that is the start of a new week the system can't reset the buckets once the technician clocks off. So any time entries the technician logs for Monday and onwards in IntelliDealer are coded as overtime right away.

The hours worked on a post affect overtime accumulation. The daily Shift Hour values on the employee profile Service Information tab override the Overtime Start Hours value in the IntelliDealer setup. If Overtime Type is Weekly IntelliDealer totals the daily shift hours and uses the resulting value as the threshold.

Supervisor screen entries DO NOT affect the overtime calculation, only IntelliTech entries and MobileTech entries.
